Eco-Maxx is looking for an organized, dependable, and customer-focused Customer Service & Billing Specialist to join our team.

If you enjoy working with customers, keeping things organized, solving day-to-day problems, and being the person who helps make sure everything gets followed through from start to finish, this could be a great fit.

This position plays an important role in the daily customer experience at Eco-Maxx. You’ll work directly with customers while coordinating with our Operations, Transportation, Sales, Accounting, and driver teams to help ensure services are scheduled, completed, documented, and billed accurately.

What You'll Do
  • Serve as a primary point of contact for customers by phone and email, assisting with service requests, scheduling changes, cancellations, and general questions.
  • Gather and maintain accurate customer, service, and account information.
  • Create and update sales orders and service information in our business system.
  • Help coordinate service dates, scheduling updates, customer information, and order changes with Operations, Transportation, and drivers.
  • Keep customers informed of schedules, changes, delays, and other service updates.
  • Review completed service orders and documentation to make sure information is accurate and ready for billing.
  • Assist with invoicing, billing corrections, credits, rebills, and routine billing questions.
  • Research discrepancies between customer requests, completed services, driver paperwork, sales orders, and billing.
  • Help verify documentation and charges related to third-party transportation, disposal, and other services.
  • Route pricing requests and new business opportunities to the appropriate Sales team member.
  • Provide general administrative support and follow-through to keep customer requests moving from initial contact through completed service and billing.
What We're Looking For

We're looking for someone who is comfortable communicating with customers while also being highly organized behind the scenes.

You'll be a strong fit if you have:

  • A high school diploma or equivalent.
  • Previous experience in customer service, billing, administrative support, logistics, transportation, dispatch, or another service-oriented environment.
  • Strong communication and customer service skills.
  • Good attention to detail and a commitment to accuracy.
  • The ability to manage multiple priorities in a fast-moving work environment.
  • The ability to investigate routine issues and follow them through to resolution.
  • Working knowledge of Microsoft Outlook, Excel, and standard office applications.
  • The judgment to handle routine matters independently while knowing when something needs to be escalated.

Experience with Acumatica or another ERP/business management system is a plus. Experience with sales orders, invoicing, transportation, routing, dispatch, environmental services, or industrial services is also helpful, but not required.
