Job description

The Human Resources Specialist provides hands-on administrative and operational support to the Human Resources Department and serves as a resource to employees, managers, and leadership across the organization. This position supports key HR functions including employee relations, benefits administration, HRIS management, onboarding and offboarding, compliance, leave administration, recordkeeping, and employee engagement.


The HR Specialist is expected to provide responsive, professional, and confidential HR support while helping ensure consistent application of company policies, procedures, and employment practices. The position plays an important role in supporting a positive employee experience and promoting the Company's core values and culture.


ESSENTIAL DUTIES:


  • Provide day-to-day administrative and operational support to the Human Resources Department.
  • Maintain accurate and confidential employee personnel records, both electronic and paper, in accordance with company policies and applicable legal requirements.
  • Prepare HR correspondence, forms, reports, spreadsheets, and other documentation as needed.
  • Assist with the development and distribution of employee communications, HR announcements, benefit communications, policy updates, and other workforce information.
  • Maintain appropriate confidentiality and security of sensitive employee information.
  • Administer employee benefit programs and serve as a primary resource for employees regarding benefit eligibility, enrollment, and general plan questions.
  • Support administration of company benefit programs, including medical, dental, vision, life insurance, short-term disability, long-term disability, Health Savings Accounts (HSA), Flexible Spending Accounts (FSA), 401(k), and other company-sponsored programs.
  • Assist with new hire benefit enrollment, qualifying life events, annual Open Enrollment, and benefit status changes.
  • Act as a liaison between employees, HR leadership, and benefit providers to research and resolve benefit-related issues.
  • Assist with benefit audits, billing reconciliation, eligibility verification, and required documentation.
  • Serve as a professional and approachable resource for employees regarding HR policies, procedures, benefits, and general workplace concerns.
  • Assist HR leadership and management with employee relations matters, investigations, documentation, and follow-up as directed.
  • Assist with recruitment and hiring activities, including job postings, candidate communications, background checks, pre-employment requirements, and hiring documentation.
  • Support the onboarding process to ensure new hires receive required HR information, policies, forms, benefits information, and system access.
  • Assist with employee transfers, promotions, and other employment changes.
  • Support the offboarding and termination process, including required documentation, benefits notifications, final paperwork, and personnel record updates.
  • Assist with exit interviews and employee separation reporting as needed.


QUALIFICATIONS:

  • Minimum of 2 years of experience in Human Resources, benefits administration, HR administration, or a related field.
  • Bilingual in English and Spanish, with strong verbal and written communication skills in both languages.
  • Proficiency with Microsoft 365, including Excel, Word, Outlook, and Teams.
  • Experience working with an HRIS, payroll, benefits, or employee management system; experience with ADP or similar HR/payroll platforms preferred.
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Strong interpersonal, communication, customer service, and problem-solving skills.
  • Ability to prioritize multiple tasks, meet deadlines, and work effectively in a fast-paced environment.
  • Ability to interact professionally and effectively with employees, managers, candidates, vendors, and benefit providers.
  • Ability to work independently while also collaborating effectively as part of a team.

WORK ENVIRONMENT & REQUIREMENTS

  • This position operates primarily in a professional office environment and requires regular interaction with employees and management.
  • May require occasional travel between company locations.
  • Regular attendance and punctuality are essential functions of the position.
  • Must be able to maintain professionalism and composure when dealing with challenging or sensitive employee situations.
