Disability Benefit Solutions is a disability advocacy firm that helps individuals apply for, appeal, and maintain Social Security disability benefits, including SSI and SSDI. We work with clients who often need support understanding paperwork, deadlines, appointments, Social Security notices, and communication from government agencies.
Position Summary
We are seeking a dependable and detail-oriented Administrative Assistant to support client services and daily office operations.
This position plays an important role in helping clients move through the Social Security disability process by assisting with intake, paperwork, document collection, scheduling, follow-up, and communication with Social Security offices and other agencies. The Administrative Assistant will also assist with accounts receivable functions, including tracking payment status and following up on outstanding payment matters as directed.
The ideal candidate is professional, patient, compassionate, and comfortable working with clients who may be facing stressful or difficult circumstances.
Key Responsibilities
· Assist clients in a respectful, professional, and welcoming manner.
· Answer phone calls, respond to emails, and direct client communications appropriately.
· Assist with new client intake by gathering basic information, explaining required documents, and helping clients understand next steps.
· Help clients complete Social Security disability-related paperwork, including applications, appeal forms, function reports, work history reports, and other required SSA forms.
· Contact Social Security Administration field offices, Disability Determination Services, medical providers, and other agencies on behalf of clients.
· Document client communications, contacts, case updates, and completed tasks accurately in the case management system.
· Maintain organized electronic and physical filing systems to ensure client records are complete, accurate, and easy to access.
· Assist with monitoring case-related fees, payment status, and billing documentation.
· Maintain confidentiality of sensitive client, medical, financial, and personal information.
· Work with team members to improve workflow, communication, documentation, and overall client service.
Qualifications
· Previous experience in administrative support, client services, intake coordination, case assistance, healthcare, human services, legal services, or a similar role is preferred.
· Strong organizational skills with the ability to prioritize tasks, manage deadlines, and follow through on assignments.
· Excellent verbal and written communication skills.
· Ability to work professionally and respectfully with individuals with disabilities, vulnerable populations, and diverse communities.
· Familiarity with Social Security disability benefits, SSI, SSDI, SSA forms is preferred, but not required..
