Job description

We are seeking a full-time Front Office Coordinator to support us with administrative and customer support tasks. In this position, you will perform various clerical duties for the office manager and or providers including answering telephones, taking messages, scheduling appointment, collect insurance and health information, copying and creating/scanning charts. The role will also be responsible for data entry and patient account follow up as well as proactive communication's in the office.

Duties and Responsibilities:

  • Answer and screen telephone calls in a courteous manner, and record messages for providers and other personnel.
  • Schedule patient appointments and procedures according to established policies and procedures.
  • Check-in patients upon arrival at the office as well as check-out upon departure.
  • Obtain accurate information from patients and ensure all registration forms are complete.
  • Collect patient and insurance payments and reconcile charges on a daily basis.
  • Verify account balances and refunds for accuracy. Provide information to patients regarding unpaid balances.
  • File records in appropriate sections of patient charts in EMR.
  • Prepare patient charts in advance and scan documents into charts in EMR.
  • Obtains patients information/medical charts from faxes and add/update in EMR
  • Maintain files and records in a confidential manner.
  • Maintain organization and efficiency of front office, including office supply inventory.
  • Perform other related duties as directed or assigned.
  • Maintain patient confidentiality.
  • Travel to nearby satellite office locations may be required.
  • Create a pleasant and welcoming environment in the front office

Requirements and Qualifications:

  • A high school diploma or GED certificate
  • Receptionist experience
  • Familiarity with medical terminology
  • Strong interpersonal, communication, and organizational skills
