Job Summary
Under the direction of the University Registrar, the Transfer Credit Coordinator is responsible for the comprehensive administration of transfer credit and prior learning assessment functions for the University. This position serves as the functional lead for transfer credit evaluation processes and Parchment Data Automation, ensuring accurate and timely articulation of transfer coursework in accordance with University, University System of Georgia, accreditation, and federal regulations. Responsibilities include evaluating academic records, maintaining transfer equivalencies, determining course applicability to degree requirements, processing transient student requests, and supporting continuous improvement initiatives related to transfer credit operations and student success.
Responsibilities
Significant Duties & Responsibilities include: Transfer Credit Administration - Ensures compliance with University, University System of Georgia, accreditation, state, and federal policies governing transfer credit, prior learning assessment, and academic records. Evaluates official transcripts and other academic records to determine transferability and applicability of coursework toward degree requirements. Processes transfer credit and prior learning credit evaluations accurately and within established service standards. Maintains and updates transfer course equivalencies, articulation tables, and transfer credit catalogs. Exercises independent judgment in evaluating coursework and determining appropriate course equivalencies and degree applicability. Reviews and processes transient permission requests for Columbus State University students seeking to enroll at another institution for a limited period. Collaborates with academic departments regarding course equivalencies, transfer policies, and degree applicability determinations. Assists students, faculty, staff, and external constituents with transfer credit inquiries and related academic record matters.; System Administration and Technical Leadership - Serves as the functional lead and primary administrator for Parchment Data Automation. Monitors, maintains, tests, and optimizes automated transfer articulation workflows to maximize processing efficiency and accuracy. Identifies opportunities for process improvement and technology enhancements related to transfer credit operations. Participates in Banner testing, upgrades, implementations, and system validation activities impacting transfer credit processes. Develops, maintains, and documents operational procedures, workflows, and training materials related to transfer credit functions. Provides subject matter expertise for transfer credit systems and associated business processes.; Process Improvement - Recommends, develops, and implements process improvements that enhance operational efficiency, data integrity, compliance, and student service. Assists with staff training and cross-training initiatives related to transfer credit processes and systems. Participate in strategic planning and operational discussions concerning student records and transfer initiatives.; Other - Provides professional, accurate, and timely customer service to students, faculty, staff, and external stakeholders. Represents the Office of the Registrar through participation in campus events and activities, including orientation programs, Discovery Days, commencement, and other enrollment-related initiatives. Supports the overall mission and operations of the Office of the Registrar through teamwork, collaboration, and shared responsibilities. Performs other duties as assigned.
Required Qualifications
Required Qualifications included: Two years of higher education from an accredited college or university.; Demonstrated commitment to excellent customer service and student support.; Excellent oral, written, and interpersonal communication skills.; Strong attention to detail and commitment to accuracy.; Ability to interpret and apply policies, procedures, and regulations.; Demonstrated ability to manage multiple priorities and meet deadlines in a fast-paced environment.; Proficiency in Microsoft Office software.
Preferred Qualifications
Preferred Qualifications include: Bachelor's degree from an accredited college or university.; Experience in an Office of the Registrar, Admissions, Enrollment, or Academic Advising.; Experience using Parchment Data Automation (Smart Panda Raptor).; Experience with Ellucian Banner Student Information System.; Experience with Degree Works degree audit software.; Experience with Hyland OnBase document management software.; Knowledge of University System of Georgia transfer policies and procedures.
Proposed Salary
The proposed annualized salary for this position is $40,253 and includes full benefits.

Conditions of Employment
