Compensation: up to$150K + Bonus

The Opportunity
We are seeking a highly trusted, resourceful, and exceptionally capable Personal Executive Assistant (PEA) to serve as a key extension of the Chairman/CEO. This is a high-impact, high-trust position supporting a broad range of business, administrative, and personal responsibilities. A significant portion of the role will be focused on the Chairman/CEO's personal affairs.
This is a full-time, in-office opportunity based in Newport Beach, California.
The Personal Executive Assistant will provide comprehensive administrative support, including managing a highly active calendar, scheduling meetings and appointments, coordinating travel and logistics, preparing expense reports, maintaining records and documents, and conducting research and analysis on a wide range of topics.
The role will also involve extensive personal support, including scheduling personal appointments, shopping and purchasing, gift research and procurement, securing difficult restaurant reservations, planning and coordinating philanthropic and personal events, managing household activities and vendors, coordinating with household staff, and handling occasional errands and personal logistics.
No task is too large or too small. One moment may involve coordinating with a senior executive, important business relationship, or high-profile external contact; the next may require resolving a household issue, arranging travel, sourcing a hard-to-find item, or managing an unexpected personal need.
Key Responsibilities:
  • Manage and proactively maintain the Chairman/CEO's complex business and personal calendar.
  • Coordinate meetings, appointments, travel, reservations, events, and other logistics.
  • Conduct thorough research on business, personal, travel, purchasing, philanthropic, and lifestyle-related matters.
  • Gather relevant information, evaluate options, and provide thoughtful recommendations.
  • Manage expense reporting, records, documents, correspondence, and other administrative responsibilities.
  • Coordinate personal appointments, shopping, purchasing, gifts, and special requests.
  • Research and secure challenging restaurant, travel, and event reservations.
  • Plan and coordinate personal, philanthropic, and social events and gatherings.
  • Coordinate household activities, vendors, service providers, and household staff.
  • Handle light errands and time-sensitive personal logistics as needed.
  • Communicate professionally and discreetly with executives, business partners, vendors, service providers, household personnel, and other external parties.
  • Anticipate needs, identify potential issues, and proactively resolve problems before they become larger concerns.
  • Keep the Chairman/CEO appropriately informed while handling matters independently whenever appropriate.
  • Maintain an exceptionally high level of confidentiality and discretion in all business and personal matters.
    Qualifications:
    • Prior experience supporting a founder, CEO, senior executive, principal, or high-level individual in a fast-paced environment is strongly preferred.
    • Demonstrated experience managing confidential business and personal matters with exceptional discretion.
    • Experience managing complex calendars, scheduling, travel, events, purchasing, vendors, and personal logistics.
    • Strong research, analytical, organizational, and problem-solving skills.
    • Exceptional written and verbal communication abilities.
    • Ability to professionally interact with everyone from household vendors and service providers to Fortune 500 executives and other senior-level contacts.
    • Comfortable in a role where a significant portion of responsibilities are personal in nature.
    • Comfortable operating in an environment where priorities can change quickly and unexpected needs arise.
    • Willingness to explain work and recommendations by clearly communicating relevant facts, analysis, options, and reasoning.
    • Ability and willingness to respond to time-sensitive matters outside traditional business hours when necessary.
    • Demonstrated ability to exercise sound judgment, maintain confidentiality, and work independently with minimal supervision.
