Job Summary

GTT is seeking an organized, detail-oriented Onboarding Coordinator to join our team in Portsmouth, New Hampshire. This role plays an important part in ensuring employees and contingent workers are successfully and compliantly onboarded for assignments across a variety of client programs. The Onboarding Coordinator manages onboarding activities from initiation through start readiness, including pre-employment screening requirements, employment eligibility documentation, client-specific requirements, system updates, and onboarding records. You'll work closely with candidates and internal teams including Recruiting, Sales, Account Management, Payroll, Human Resources, and Operations to help ensure each new hire is ready to begin their assignment accurately and on time. This position is a great fit for someone who enjoys managing details, keeping multiple priorities moving, solving problems, and providing a positive experience for candidates throughout the onboarding process.

Key Responsibilities
  • Coordinate the end-to-end onboarding process for employees and contingent workers across multiple client accounts.
  • Review client-specific onboarding requirements and ensure required steps are completed before scheduled start dates.
  • Initiate and monitor background screenings, drug testing, employment and education verifications, credentialing, and other required pre-employment screening activities.
  • Coordinate completion of employment eligibility documentation, including Form I-9 and E-Verify requirements, as applicable.
  • Issue onboarding documentation and proactively follow up with candidates regarding outstanding requirements.
  • Track onboarding progress and communicate status, deadlines, and outstanding items to candidates and internal stakeholders.
  • Maintain accurate worker and assignment information in JobDiva, client Vendor Management Systems (VMS), HR systems, and internal tracking tools.
  • Maintain complete, accurate, and audit-ready electronic onboarding records.
  • Review onboarding documentation for accuracy and alignment with client and company requirements.
  • Partner with Recruiting, Sales, Account Management, Payroll, Human Resources, and Operations to resolve onboarding issues and support timely worker starts.
  • Identify missing, conflicting, or unusual onboarding requirements and escalate issues appropriately.
  • Assist with client and internal audit requests by gathering and maintaining required documentation.
  • Protect confidential employee, candidate, and client information.
  • Identify opportunities to improve onboarding processes, tools, and workflows.
  • Provide responsive and professional support to candidates throughout the onboarding experience.
  • Perform other related duties as needed.
Required Skills
  • Experience working in a fast-paced, deadline-driven environment while managing multiple priorities.
  • Strong attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Ability to identify discrepancies, research information, and escalate issues appropriately.
  • Proficiency with Microsoft Office, including Excel.
Preferred Skills
  • Experience within the staffing, recruiting, or contingent workforce industry.
  • Experience working with Vendor Management Systems (VMS) or Managed Service Provider (MSP) programs.
  • Experience coordinating background screenings, employment verification, education verification, credentialing, or similar pre-employment requirements.
  • Familiarity with Form I-9 and employment eligibility verification requirements.
  • Experience using JobDiva or another applicant tracking, HRIS, or onboarding platform.
  • Experience supporting multiple clients, business units, or onboarding processes simultaneously.
Education Requirements
  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent relevant work experience.
Required Experience
  • 2 years of experience in onboarding, staffing operations, HR administration, compliance, recruiting support, or a related function.
