Job Position: Executive Administrative Assistant


PURPOSE OF THE JOB:

The Executive Administrative Assistant will serve as a trusted right hand to three C-Suite Owners of Catch Coverage, a growing health insurance company with over 500 employees. This highly visible and fast-paced role requires an experienced, polished, and proactive professional who can seamlessly support senior leadership across multiple locations including Fort Lauderdale and Clearwater. This role is onsite and will be based out of our Clearwater, FL office. This role demands 100% discretion and professionalism at all times there are no exceptions. The ideal candidate brings exceptional organizational skills, sharp attention to detail, a high degree of discretion, and the technical savvy to thrive in a modern, dynamic executive environment.


RESPONSIBILITIES:

Provide high-level administrative support to three C-Suite Owners, anticipating needs and managing priorities with minimal direction

Manage and prioritize complex, multi-executive calendars, proactively resolving scheduling conflicts and ensuring leaders are prepared for every commitment

Screen, triage, and draft correspondence on behalf of executives, ensuring timely and professional communication at all times

Coordinate any domestic and international travel arrangements, including flights, hotels, ground transportation, and detailed itineraries

Attend executive meetings, take accurate and thorough notes, and distribute action items and follow-ups in a timely manner

Serve as a communication liaison between the C-Suite and internal departments, external partners, and stakeholders across both the Fort Lauderdale and Clearwater locations

Prepare, edit, and format executive-level presentations, reports, and documents with a high degree of accuracy and professionalism

Manage confidential and sensitive information with the utmost 100% discretion and integrity

Coordinate logistics for executive meetings, board sessions, offsites, and company events

Manage expense reporting and reconciliation for all three executives

Leverage technology platforms and tools to streamline workflows, improve efficiency, and support cross-location collaboration

Handle special projects and ad hoc assignments as directed by the C-Suite

Requirements

Minimum of ten (10) years of experience as an Executive Assistant or Administrative professional supporting C-Suite or senior level executives

Experience supporting multiple executives simultaneously in a fast-paced, multi-location environment strongly preferred

Must be based in or willing to work from our Clearwater, FL office 5 days a week.

Exceptionally organized with a strong ability to manage competing priorities, meet deadlines, and adapt quickly to shifting demands

Tech-savvy with advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Google Workspace, and virtual collaboration tools

Experience with calendar management platforms, travel booking systems, and expense management software

Outstanding written and verbal communication skills professional, polished, and clear

High degree of professionalism, discretion, and sound judgment when handling confidential information

Proactive and solutions-oriented mindset with a strong sense of ownership and follow- through

Strong interpersonal skills with the ability to build relationships across all levels of the organization with complete discretion.

Experience in the insurance, healthcare, or financial services industry is a plus

Bachelor's degree preferred; equivalent experience will be considered
