Care First

Care First is looking for a highly organized and motivated Scheduling Specialist to join our growing team. This role is responsible for coordinating schedules between clients and providers to ensure timely service delivery, continuity of care, and proper utilization of available hours.

The ideal candidate is detail-oriented, able to multitask in a fast-paced environment, and comfortable communicating with families, providers, and internal departments daily.

Key Responsibilities

• Coordinate and schedule services between clients and providers based on availability, location, and level of care
• Match providers to client cases while considering scheduling compatibility and operational needs
• Monitor unstaffed or partially staffed cases and assist with securing coverage
• Maintain and update scheduling information within the company platform/system
• Communicate with families and providers regarding schedule confirmations, changes, cancellations, and coverage updates
• Work closely with Intake, HR, Clinical, and Operations teams to ensure smooth case transitions
• Review provider availability and assist with schedule optimization
• Ensure all scheduled services are aligned with active authorizations and approved hours
• Support continuity of care by minimizing service disruptions whenever possible
• Track and report scheduling issues, staffing gaps, and operational concerns to Leadership

Qualifications

• Previous scheduling, staffing coordination, healthcare operations, or customer service experience preferred
• Strong organizational and multitasking skills
• Excellent communication and problem-solving abilities
• Ability to work in a fast-paced environment with attention to detail
• Experience working with scheduling systems or EMR platforms preferred
• Ability to maintain confidentiality and professionalism
• Strong teamwork and follow-up skills

Compensation & Benefits

• Hourly Pay: $25–$28 per hour (based on experience)

Preferred Qualifications

• Experience in healthcare, ABA, home care, or behavioral health scheduling
• Experience working with providers, clients, or insurance-based services
• Bilingual candidates are a plus
