We are seeking a detail-oriented, organized, and motivated Administrative Assistant / Ticket Processing Specialist to join our growing operations team.

Position Overview

As a Ticket Processing Specialist, you will take ownership of assigned client accounts from start to finish. You will manage incoming violation notices, request supporting legal documentation, prepare defense packages, maintain accurate records, and communicate directly with clients.

This role is ideal for an administrative professional who thrives in a fast-paced environment, excels at document management, and pays meticulous attention to detail.

Key Responsibilities:

Account Management & Data Entry

  • Manage end-to-end processing for assigned client accounts in internal company databases.
  • Review daily/weekly fleet reports and issue-tracking systems to identify new tickets.
  • Accurately input ticket data, notices, and correspondence into internal systems.

Documentation & Defense Preparation

  • Audit violations to determine amenable vs. non-amenable statuses based on local traffic regulations.
  • Identify necessary supporting proofs and draft documentation request notices for clients.
  • Prepare, organize, scan, and submit completed defense packages for legal/administrative review.
  • Track outstanding documentation, follow up with clients, and ensure strict deadlines are met.

Qualifications

Required:

  • Administrative Skills: Strong organizational skills with a proven track record in office administration, data entry, or record-keeping.
  • Attention to Detail: High level of accuracy when auditing documents, verifying numbers, and entering data.
  • Tech Literacy: Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and the ability to quickly learn proprietary database software.
  • Communication: Excellent written and verbal communication skills for client correspondence.
  • Time Management: Ability to manage multiple client priorities independently in a fast-paced environment.

Preferred (Nice to Have):

  • Experience in transportation, trucking, logistics, fleet management, or compliance documentation.
  • Prior experience reviewing legal documents, claims, or regulatory notices for accuracy.
  • Basic familiarity with NYC parking, camera, or traffic violations is a plus (training provided).
