Position Summary
The Senior Full-Charge Bookkeeper will oversee the bookkeeping function for a portfolio of complex business clients while reviewing the work of junior bookkeepers to ensure accuracy, completeness, and compliance.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working with multiple clients across different industries. This role requires strong technical accounting knowledge, excellent communication skills, and the ability to identify issues before they become problems.
Primary Responsibilities
Client Accounting
- Maintain full-charge bookkeeping for multiple business clients
- Record and reconcile complex transactions
- Perform monthly, quarterly, and annual bank and credit card reconciliations
- Prepare adjusting journal entries
- Reconcile balance sheet accounts
- Maintain fixed asset schedules
- Review general ledger activity for accuracy
- Prepare month-end and year-end closing procedures
- Generate accurate financial statements
- Analyze financial reports and identify unusual activity
- Assist CPAs with tax return preparation by providing clean, reconciled books
Review & Quality Control
- Review work prepared by junior bookkeepers
- Identify errors and provide coaching and feedback
- Ensure consistency across all client files
- Maintain firm bookkeeping standards and procedures
- Assist with training and onboarding new bookkeeping staff
Payroll
- Process payroll for multiple clients
- Review payroll tax filings
- Prepare and file quarterly payroll reports
- Ensure compliance with federal and state payroll requirements
- Resolve payroll discrepancies
Sales & Use Tax
- Prepare and file sales and use tax returns
- Maintain filing calendars
- Register businesses in new jurisdictions when necessary
- Respond to notices related to sales tax
Year-End Compliance
- Prepare and file Forms 1099 and related information returns
- Maintain W-9 records
- Coordinate year-end accounting close
- Assist with year-end tax workpapers
Client Communication
- Communicate directly with business owners
- Answer accounting and bookkeeping questions
- Request missing documentation
- Explain financial reports in a professional manner
- Maintain exceptional client service
Qualifications
Required
- Fluent in both English and Spanish (written and verbal)
- Minimum 5 years of bookkeeping experience
- Minimum 3 years in a public accounting or CPA firm
- Experience managing multiple clients simultaneously
- Strong understanding of GAAP
- Advanced QuickBooks Online experience
- Experience with payroll processing
- Experience filing Sales & Use Tax returns
- Experience preparing and filing 1099s
- Strong Microsoft Excel skills
- Excellent organizational and time management skills
- Ability to prioritize deadlines
- Exceptional attention to detail
Preferred
- QuickBooks Online ProAdvisor Certification
- Experience with QuickBooks Desktop
- Experience with Gusto, ADP, or other payroll platforms
- Experience with Bill.com, Expensify, Dext, or similar software
- Experience working with construction, professional services, real estate, or multi-entity businesses
