We are a growing waste and industrial services company seeking a dependable, detail-oriented Industrial Office Administrator to support our daily operations. This is a fast-paced, hands-on role that combines accounts receivable/payable, customer communication, and operational office support within an industrial environment.
We’re looking for someone who understands the pace and demands of industries such as waste, trucking, transportation, construction, warehouse, logistics, or industrial services and is comfortable wearing multiple hats in a small business setting.

What You'll Be Doing
- Managing daily office, warehouse, and administrative support functions
- Answering phones and directing customer and service-related calls
- Responding to emails and maintaining timely communication with customers and vendors
- Working in Microsoft Office (Word, Excel, Outlook) for administrative and reporting tasks
- Using QuickBooks Desktop Enterprise for accounting and office support functions
- Supporting Accounts Receivable and Accounts Payable activities
- Making collection calls and confirming outstanding balances professionally
- Posting payments including checks, ACH, and credit card transactions
- Maintaining accurate customer records, billing details, and service information
- Preparing and sending service proposals and customer paperwork
- Assisting with compliance documentation for new and existing customers
- Learning and utilizing route management and billing software to support operations
What We're Looking For
- 5+ years of administrative, accounting, or office support experience in an industrial environment.
- Experience in an industrial, warehouse, transportation, waste, construction, or similar environment strongly preferred
- Experience with Accounts Receivable, Accounts Payable, or collections
- Working knowledge of QuickBooks Desktop (Enterprise preferred)
- Strong Microsoft Office skills, especially Excel and Outlook
- Comfortable handling customer and vendor communication by phone and email
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced office
- Willingness to learn company systems and support operational workflows
- Dependable, professional, and comfortable working in a small business environment
Schedule & Details
- Full-time, in-office position
- Standard business hours, with some flexibility after training
- Office located off Falkenburg Rd (near Brandon / East Tampa)
