Overview

The Operations Coordinator will play a critical role in supporting parts operations, logistics, inventory management, and customer service activities. This role will work cross-functionally with suppliers, dealers, logistics providers, and internal teams to ensure efficient operations, strong customer support, and reliable equipment performance.


Responsibilities

  • Coordinate parts ordering with internal teams, Orteco Italy, and external partners to meet operational and customer needs
  • Source domestic suppliers and components to improve lead times and reduce supply chain risk
  • Coordinate with freight carriers, customs brokers, warehouses, and logistics providers to ensure timely and accurate delivery
  • Track shipments and resolve delays, shortages, and delivery issues
  • Monitor tariffs, freight conditions, and import/export requirements impacting operations
  • Maintain accurate shipping documentation and tracking records
  • Maintain and update inventory records across systems and locations • Monitor stock levels and coordinate replenishment activities
  • Track usage trends, lead times, and critical spare parts requirements
  • Support development of inventory control procedures and best practices
  • Coordinate warranty claims between customers, dealers, and suppliers
  • Collect and review supporting documentation including photos and service details
  • Communicate technical issues clearly to internal teams and vendors
  • Support development of warranty processes and documentation standards
  • Build and maintain strong relationships with customers and dealers
  • Manage CRM data including customer contacts, machine population, and service history
  • Proactively follow up with customers to monitor machine performance and satisfaction
  • Recommend preventive maintenance, service kits, and spare parts based on usage
  • Monitor telematics systems for machine performance, utilization, and maintenance tracking
  • Track fault codes, service intervals, and operational trends
  • Support customers and internal teams with reporting and system access
  • Manage relationships with vendors, suppliers, and service providers
  • Coordinate with partners to ensure alignment on timelines, quality, and delivery
  • Track vendor performance including pricing, responsiveness, and reliability
  • Investigate operational issues such as delays, shortages, and service concerns and implement practical solutions
  • Identify opportunities to improve processes, inventory accuracy, and operational efficiency
  • Maintain accurate records and manage multiple priorities effectively


Qualifications

  • Strong customer service orientation with the ability to build and maintain relationships
  • Excellent organizational skills with strong attention to detail and ability to manage multiple priorities
  • Strong communication skills with the ability to work cross-functionally and explain technical information clearly
  • Mechanical aptitude with the ability to understand equipment components and identify parts
  • Experience with ERP systems, inventory management tools, and CRM platforms
  • Proficiency in Microsoft Excel and reporting tools
  • Familiarity with shipping, logistics, and supply chain coordination
  • Strong problem-solving skills with the ability to take initiative and resolve issues independently
  • High level of accountability with ownership from order entry through delivery
  • Ability to maintain accurate documentation and meet deadlines consistently
  • Knowledge of inventory planning, supply chain operations, and vendor coordination
