OVERVIEW:

The Onsite Coordinator serves as the liaison between Balance Staffing and associates at a client site, managing administrative functions and supporting the overall delivery of the staffing program. This role involves building and maintaining strong relationships with associates and key contacts within the client’s organization to ensure smooth operations and a positive experience.

RESPONSIBILITIES AND DUTIES:

• Assist with administrative functions in a recruitment and staffing program for an individual client, ensuring a seamless onboarding process for contingent employees.
• Collect onboarding information from new hires and address general questions regarding the process.
• Use Excel and Smartsheets to track and monitor onboarding and new hire progress, ensuring accuracy and data integrity across all employee information sources.
• Develop strong relationships with both internal and external stakeholders to support the recruitment process.
• Partner with recruiters to deliver an efficient, positive, and high-touch candidate experience throughout the onboarding lifecycle.
• Conduct pre-employment checks and audits (e.g., background checks, direct deposit setup) in a timely and accurate manner.
• Provide exceptional customer service to a diverse workforce at all levels of the organization.
• Ensure the accurate and timely entry of employee information in systems such as Avionte, MVP, Lookout, and E-Verify, with regular audits to maintain data integrity.
• Run daily reports to verify the accuracy of Job Orders and confirm that new hire profiles are up to date.
• Cross-train in various administrative functions and provide support as needed across all stages of the hiring and onboarding process, including New Hire Orientation and employee files.

QUALIFICATIONS:

• 1+ years' experience in an HR position within staffing/the light industrial/general labor workforce
• Basic computer skills with Google Suite, Microsoft Office Suite, including Word
• Ability to speak Spanish (ideal)
• Customer service skills
• Strong relationship building skills and the ability to communicate well

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. On occasion, duties may require the wearing of proper safety equipment in areas where such equipment is required. While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit, stand; walk; use hands to finger; handle or feel; and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

WORK ENVIRONMENT:

This position requires the flexibility to work in person and from home. Balance reserves the right to require in person work when necessary. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing duties of this job, the employee can be expected to work flexible hours, including before 8am and after 5pm.
