Administrative Assistant

Working as an Administrative Assistant with the Indiana Department of Health (IDOH) Food Protection Division (FPD), Rapid Response Team (RRT) and the Produce Safety Team. Assisting the RRT/Produce Safety Program Manager and team members in their duties. Providing a wide range of administrative assistance to two programs within the Food Protection Division. Acting as a liaison between program or department administration, state agencies, and other stakeholders. Providing routine policy interpretation and related decisions to stakeholders. Researching and preparing various reports for manager. Preparing and processing correspondence and verbally communicating with the public or other agency representatives. Reviewing and inspecting incoming documents for accuracy, completeness, and compliance with applicable federal, state, and local rules and regulations. Providing technical guidance and composing manuals for agency personnel. Coordinating clerical and administrative functions. Performing other duties as assigned. High School Diploma or equivalent and 3 years full time experience in administrative support, bookkeeping, office management, or related experience is required. The role requires general knowledge of office administrative functions, theories, and principles, and working knowledge of research techniques and report composition. The incumbent must have effective written and verbal communication skills, attention to detail and proofreading skills, organizational skills, ability to prioritize tasks effectively, multitask, and use Microsoft Office Suite. The role requires ability to analyze procedures and policies, write procedural manuals to recommend improvements, coordinate the work of the RRT and Produce Safety Teams, and maintain cooperative work relationships. The incumbent will work within generally accepted management and program guidelines and will work with employees in the programs as well as other programs with other agencies or departments and the general public. The incumbent must provide exceptional customer service to agency partners and the general public. The role requires sitting for extended periods of time and works primarily in a standard office environment.
