Job description

We are seeking a highly organized and experienced Medical Office Manager to oversee the daily operations of our ENT & Allergy medical practice. The ideal candidate will have a strong background in medical office management and administration, with the ability to lead staff, optimize workflow, and maintain a high standard of patient care and operational efficiency.

This role is essential to ensuring the office runs smoothly while supporting both clinical and administrative teams in a fast-paced healthcare environment.

Responsibilities:

  • Oversee daily operations of the medical office, ensuring compliance with healthcare regulations and standards
  • Manage staff scheduling, hiring, onboarding, training, and performance evaluations
  • Maintain accurate patient records and documentation within the Electronic Health Record (EHR) system
  • Coordinate scheduling, patient flow, billing processes, and insurance verification/claims support
  • Implement and maintain office policies and procedures to improve efficiency and patient satisfaction
  • Handle human resources functions including payroll coordination, benefits administration, and employee relations
  • Serve as a liaison between providers, clinical staff, administrative staff, and leadership to ensure effective communication and problem resolution
  • Monitor clinic workflow and address operational issues proactively
  • Maintain knowledge of medical terminology and industry standards to support staff development
  • Develop and support marketing efforts to build and maintain strong, mutually beneficial relationships with referring physicians
  • Serve as a liaison between referring physician offices and the practice to strengthen referral networks
  • Support patient-focused marketing initiatives to promote services and enhance patient engagement

Experience:

  • Proven experience as a Medical Office Manager is required
  • Strong understanding of medical office operations and healthcare workflows
  • Familiarity with medical terminology and healthcare management practices
  • Experience with EHR systems (e.g., Epic, Dentrix, or similar) is a plus
  • Background in human resources or administrative leadership within a healthcare setting is preferred
  • Strong leadership skills with the ability to manage and motivate a team effectively
  • Excellent communication skills, both verbal and written
