Project Coordinator (San Francisco)

The Role

As a Project Coordinator, you will play a key supporting role in the smooth day-to-day running of our operations. Your focus will be on coordinating workflows, keeping Jira boards up to date, and ensuring communication flows seamlessly across teams. This is a hands-on, detail-oriented position – ideal for someone who enjoys organizing processes, solving small problems before they grow, and helping teams stay on track. This is not a Project Manager position, but rather an operational support role with a focus on coordination and execution. You will report directly to the CEO and collaborate closely with multiple teams based in San Francisco and Lisbon.

Responsibilities
  • Coordinate and track daily operational tasks across teams.
  • Manage and update Jira boards, dashboards, and reports to reflect accurate status of tasks.
  • Monitor workstreams, follow up on task progress, and help ensure deadlines are met.
  • Organize documentation and maintain workflows for easy team access.
  • Assist with preparing internal reports, dashboards, and presentations.
  • Identify bottlenecks or blockers early and help facilitate solutions.
  • Suggest small improvements to workflows and coordination processes.
Requirements
  • Around 2–4 years of experience in an operations, coordination, or administrative support role.
  • High proficiency in Jira, including setting up dashboards, filters, and simple automations.
  • Strong organizational skills, with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both written and verbal.
  • Detail-oriented, proactive, and comfortable working collaboratively across teams.
