The firm handles sophisticated intellectual property matters for a diverse client base and is seeking an experienced IP Docketing Specialist to support complex U.S. and international patent prosecution matters.
Position Overview

The IP Docketing Specialist will serve as a critical member of the Intellectual Property team, managing highly sensitive patent and trademark deadlines across domestic and international matters. This is not a general administrative role the ideal candidate will bring dedicated IP docketing experience and a strong understanding of patent prosecution workflows, filing deadlines, and docket management procedures.

This role is ideal for someone who thrives in a detail-oriented environment, takes ownership of deadline management, and enjoys working closely with attorneys and senior IP professionals on sophisticated matters.
Key Responsibilities

  • Manage daily docketing of U.S. and foreign patent and trademark correspondence
  • Maintain accurate and timely docket entries within the firms IP docketing system
  • Monitor critical deadlines and proactively communicate with attorneys and staff regarding upcoming filing obligations
  • Coordinate with external docketing resources to resolve outstanding docket issues
  • Support U.S., PCT, and foreign patent prosecution matters, including preparation and filing of required documents
  • Assist with annuity and maintenance fee management for domestic and international matters
  • Communicate directly with foreign associates regarding filing deadlines and annuity matters
  • Perform regular quality control audits to ensure docket accuracy and compliance
  • Report official correspondence and filing confirmations to clients and foreign associates in a timely manner
Required Experience
  • 23+ years of dedicated IP docketing experience within a law firm or in-house IP department
  • Experience supporting both U.S. and foreign patent matters required
  • Hands-on experience managing PCT national phase entry deadlines and non-extendable filing windows
  • Experience with patent prosecution docketing workflows required
  • Prior experience communicating with foreign associates strongly preferred
  • Trademark-only experience will not be sufficient for this role
Technical Skills
  • Experience with USPTO Patent Center and/or EFS-Web
  • Familiarity with WIPO ePCT procedures and workflows
  • Experience using IP docketing systems such as CPI, FoundationIP, Anaqua, or similar platforms
  • Strong Microsoft Office proficiency
