About Us
We are a growing ABA (Applied Behavior Analysis) clinic dedicated to providing high-quality, compassionate care to children and families. Our team is collaborative, mission-driven, and focused on creating a supportive environment for both clients and staff.
Position Overview
We are seeking a highly organized, dependable, and personable front office coordinator to serve as the first point of contact for our clinic. This role is essential to keeping daily operations running smoothly, supporting clinical staff, and ensuring a welcoming experience for clients and families.
Key Responsibilities
Scheduling & Coordination
  • Manage client/staff appointment scheduling and rescheduling
  • Coordinate therapist schedules and room assignments
  • Handle staff call-outs and assist with coverage coordination
  • Maintain accurate daily calendars and communicate schedule updates promptly

Client Check-In & Front Desk Support
  • Greet clients and families warmly and professionally
  • Manage check-in/check-out procedures
  • Answer phones, respond to emails, and route inquiries appropriately
  • Maintain confidentiality and HIPAA compliance

Daily Office Operations
  • Support clinic leadership with administrative tasks
  • Maintain organized client records and documentation
  • Order and manage office supplies
  • Assist with data entry and reporting as needed
  • Ensure the front office area remains clean, organized, and welcoming

Qualifications
  • 1+ year of front office, medical office, or administrative experience preferred
  • Experience in healthcare, behavioral health, or ABA settings is a plus
  • Strong organizational and multitasking skills
  • Excellent communication and problem-solving abilities
  • Proficient in Microsoft Office and scheduling software
  • Ability to handle fast-paced environments with professionalism
  • Reliable, punctual, and team-oriented
  • Bilingual Spanish speaker preferred
