Position OverviewThe Tennessee Department of Health is seeking an experienced
Administrative Services Assistant (ASA 4) to support the Division of Family Health & Wellness. This role focuses on contract administration and competitive procurement processing. The selected candidate will ensure contracts, amendments, and procurements are prepared, processed, and tracked in compliance with state requirements.
This position is funded through the Rural Health Transformation Grant (renewable through October 30, 2030).
Key Responsibilities Contract Administration - Prepare, process, and monitor division contracts and amendments
- Conduct research and analysis to ensure correct contract formatting and compliance
- Process budget revisions, funding updates, and Contract Processing Worksheet (CPW) revisions
Procurement Processing - Manage competitive procurements including:
- Request for Proposals (RFP)
- Request for Grant Proposals (RFGP)
- Request for Applications (RFA)
Financial & Invoice Support - Track and reconcile invoices for reimbursement within Edison
- Maintain accurate financial and contract documentation
Administrative Support - Provide comprehensive administrative and program support to division leadership and staff
- Support operational needs of the Family Health & Wellness Division
Minimum Qualifications - Bachelor's degree from an accredited college or university
- Minimum two (2) years of professional administrative experience
Required Skills - Strong analytical and problem-solving abilities
- Excellent attention to detail and organizational skills
- Ability to manage multiple priorities simultaneously
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
Work Environment & Schedule - Hybrid role - Nashville, TN
- First day onsite required for laptop deployment and orientation
- Quarterly in-person attendance required for division meetings
- Travel to central office is non-reimbursable
- Schedule: Monday-Friday | 8:00 AM - 4:30 PM CST
- 37.5 hours per week (State work schedule)
