Job description

Wave Plastic Surgery has been a trusted leader in the industry for over 20 years. More recently, the organization expanded by launching a dedicated division called Wave Medical Group, currently based exclusively in the Los Angeles office. This location includes both our aesthetics and plastic surgery suites, as well as a specialized pain management practice.
Under Wave Medical Group, we provide comprehensive pain management services led by two Pain Specialist physicians. The practice primarily focuses on personal injury patients, with treatments centered around pain injection therapies and ongoing care.
We work closely with a network of law offices that refer patients to our practice. The Scheduling Coordinator plays a key role in ensuring a seamless patient experience by serving as the primary point of contact for these law offices and coordinating patient appointments. Responsibilities include scheduling consultations, pain injection procedures, and follow-up visits while maintaining efficient communication and organization throughout the process.
Work Schedule:
This is a full time position. The role is onsite with standard working hours of Tuesday-Saturday from 9AM-6PM. We believe in maintaining a healthy work-life balance while ensuring business needs are met.
  • Coordinate and schedule patient appointments for pain management services, ensuring optimal clinic flow and provider availability
  • Act as the primary point of contact for patients, guiding them through the booking process and next steps
  • Liaise with healthcare providers, case managers, and WSIB representatives to ensure timely and accurate scheduling of assessments and follow-ups
  • Coordinate with legal offices and lawyers who refer patients to the clinic, ensuring smooth intake and communication throughout the scheduling process
  • Review and process referrals, ensuring all required documentation and approvals are in place prior to booking
  • Maintain accurate and up-to-date patient records within the EMR system
  • Follow up with patients regarding upcoming appointments, changes, or required documentation
  • Manage cancellations, rescheduling, and waitlists to maximize clinic efficiency
  • Ensure compliance with WSIB guidelines, timelines, and clinic protocols
  • Provide administrative support to the clinic team as needed

Qualifications:
. Experience with processing insurance claims
• Strong organizational and multitasking skills with attention to detail.
• Excellent communication and interpersonal skills to interact with clients and team members.
• Proficiency in scheduling and EMR software.
• Ability to maintain a professional and positive demeanor in a fast-paced environment.
• Proficiency in Korean, Mandarin or Spanish is highly preferred.
Compensation:
The salary for this position ranges from $17-28/hr, depending on experience, with additional performance-based incentives and benefits.
