Job Description Summary
This position supports the daily operations and initiatives of the Career Services Office. The role includes guiding peers on Saint Leo University career platforms, conducting outreach, creating promotional content, and collaborating on programming. The assistant serves as a friendly first point of contact and is expected to promote a respectful, professional environment aligned with the Saint Leo University Core Values.

General Responsibilities
  • Answer office phones, transfer calls, and take messages for professional staff as directed by supervisor.

  • Greet and assist all office visitors; help maintain an organized, confidential workspace.

  • Assist students with navigating platforms such as Handshake, AIM, and other approved platforms.

  • Perform general clerical tasks including filing, organizing resources, and data entry.

  • Complete required onboarding and ongoing training.

  • Participate in weekly team meetings.

  • Provide courteous and professional customer service in person and over the phone.

  • Support other Student Affairs teams as assigned by supervisor.

Career Services-Specific Responsibilities
  • Conduct cold calls to prospective employer partners and students as part of outreach efforts.

  • Assist with event logistics including tabling, setup, and student check-ins.

  • Approve job and employer requests in Handshake under supervision.

  • Provide peer-to-peer resume reviews and support with appointment scheduling.

  • Organize and track inventory in the Career Closet; support student fittings and checkout processes.

  • Assist professional staff with classroom visits and presentation setup.

  • Create and co-manage social media content using Canva or other tools, as directed.

  • Collaborate with staff on projects that highlight employer relationships or student success stories.

Qualifications
Required:
  • Must be Federal Work Study eligible and approved.

  • Comfortable speaking with students and external partners over the phone.

  • Basic knowledge of Microsoft Office and Google Suite.

  • Commitment to confidentiality, punctuality, and respectful engagement.

  • Demonstrate professionalism and adherence to Saint Leo University Core Values.

  • Ability to treat all students, staff, and guests with dignity and courtesy.

Preferred:
  • Experience with Canva or social media content creation.
