Job description

The Administrative Assistant facilitates the work in the Congregational Mission Office by providing support and service to the Executive Director and the staff.

This is a part-time position (5 hours/day) based at the Congregational Mission Office in Ipswich, Massachusetts.

RESPONSIBILITIES:

  • To greet guests, vendors, and callers in a welcoming manner and direct them to the appropriate personnel
  • To assist the director in the planning of staff meetings and to record the minutes of the meetings
  • To design and maintain appropriate record-keeping systems, both electronic and paper files
  • To keep the online CMO office calendar
  • To set up Zoom meetings for congregational committees when needed
  • To arrange for interpreters for meetings when needed
  • To order office supplies and oversee office equipment maintenance, and to arrange for kitchen and bathroom supplies (ex., paper towels, toilet paper, etc.)

QUALIFICATIONS, SKILLS AND EXPERIENCE:

  • Understanding of and commitment to the mission of the Sisters of Notre Dame de Namur
  • 3-5 years’ experience in office management/secretarial skills
  • Experience with information technology, especially Microsoft Office Programs, Zoom, and Google
  • Strong oral, written, and interpersonal communications skills, including proofreading experience
  • Strong organizational skills and the capacity to perform multiple tasks and meet deadlines

Recognized as outstanding educators, thousands of Sisters of Notre Dame de Namur have taught children and adults across five continents over the years.

Although many Sisters continue to staff schools, others have chosen to work with the homeless, AIDS patients, the elderly poor — and countless others in need of help. All these ministries have one aim: to proclaim in our time, as St. Julie did in hers, that God is good!
