Job Type: Full-Time (Up to 40 hours/week)

Compensation: $18.00 – $20.00 per hour (Depending on Experience)

Our client is a well-established, multifaceted real estate and construction group specializing in custom home building, specialty contracting services, and property management. They pride themselves on quality craftsmanship and exceptional client service. They are seeking an organized, detail-oriented Bookkeeper / Office Administrator to manage daily financial and administrative operations across their various business arms.


Job Overview


In this role, you will serve as the backbone of the office's daily operations. You will be responsible for full-charge bookkeeping duties in QuickBooks, managing vendor compliance, and handling general administrative tasks. The ideal candidate is a self-starter with strong construction or property management bookkeeping experience and the ability to multitask in a dynamic small-office environment.


Key Responsibilities


Financial & Bookkeeping (QuickBooks)


  • Payroll & Liabilities: Process weekly employee payroll accurately and manage corresponding payroll liabilities within QuickBooks.


  • Accounts Payable: Handle vendor and subcontractor payments via check entry and ensure timely billing.


  • Invoicing & Estimates: Input detailed job estimates and customer invoices into QuickBooks.


  • Reconciliation: Perform monthly reconciliations for multiple bank and credit card statements across different company entities.


Vendor & Compliance Management


  • Vendor Vetting: Screen and vet new vendors, subcontractors, and suppliers.
  • Compliance Tracking: Collect, verify, and maintain up-to-date W-9 forms and Certificates of Insurance (COI) for all subcontractors.


Administrative & Customer Support


  • Warranties & Rebates: Process and track home warranties, manufacturer rebates, and related paperwork for construction projects.
  • Office Support: Answer phones, respond to emails, organize files, and provide general administrative support to the management team.


Qualifications & Skills


  • Experience: 2+ years of bookkeeping or accounting clerk experience. Experience in construction, custom home building, or property management is highly preferred.
  • Software Proficiency: Strong, hands-on experience with QuickBooks is required. Proficiency in Microsoft Office (Excel, Word).
  • Compliance Knowledge: Familiarity with tracking subcontractor W-9s and Certificates of Insurance (COI).
  • Attention to Detail: High level of accuracy in data entry, job costing, and compliance tracking.
  • Multitasking: Ability to efficiently manage tasks for multiple entities under one parent company.
