Job description

General Summary of Duties:
The Associate, Lifetime Support for Artists collaborates with the Lifetime Support team to oversee the day-to-day operations of alumni resources and activities for artists. These resources encompass artist funding, incubation and presentation of work, and artist sustainability programs. In particular, the Associate, Lifetime Support for Artists focuses on the administration of the Miami-based alumni residency program as well as the execution of Miami-based Lifetime Support programming. This position also includes supporting team administrative efforts including programmatic research, logistical support of programs, data tracking and management, budget tracking and management, grant management support, online alumni platform management, and communication support. This position must be available to support virtual and in-person programming at the Miami campus and travel for occasional events taking place nationally. The Associate, Lifetime Support for Artists works collaboratively with all team members to provide thoughtful artist services support, while meticulously executing strategies to welcome, organize, and connect the alumni community. The Associate, Alumni Support reports to the Senior Director, Lifetime Support for Artists.

Essential and Other Responsibilities (perform other duties as assigned):
• Oversee the Miami-based alumni residency program, including a Miami Art Week presentation of resident works in progress
• Oversee the YoungArts Week Exhibition
• In support of exhibitions, aid in the curation, installation, presentation, and shipping of fine art objects including but not limited to paintings, photographs, conceptual models, and sculptures
• Support the creation of the YoungArts Week Anthology
• Support all Miami-based Lifetime Support programming
• Support YoungArts Week programming
• Collaborate with Lifetime Support Team and the Associate Director, Programs Administration to develop and maintain processes that yield an accurate, detailed snapshot of departmental expenses through tracking and reconciliation of the budget
• Support the development of contracts in coordination with People Operations

  • Collaborate closely with all departments to organize the season calendar and plan resource distribution opportunities and public-facing events

• Collaborate with Chief of Staff to aggregate, analyze, and report programmatic activity for all stakeholders
• Support the transformation of programs’ data collection methods and tools to track, learn about, and connect with all artists in the community
• Support the management of alumni programs including funding, incubation and presentation, and career sustainability
• Respond as needed to general inquiries from alumni in relationship to YoungArts Open Call opportunities and YoungArts Post Zen Desk requests
• Establish and maintain positive working relationships and present a positive image of the organization to the public, patrons, clients, and artists

Qualifications and Experience Requirements:

• Experience in fine art curation, exhibition, installation, presentation, and shipping.
• Knowledge of artists and/or best practices in the arts and culture field.
• Exceptional record-keeping and project management skills.
• Experience working in database management. Strong knowledge is preferred.
• Experience working with Microsoft Excel. Strong knowledge is preferred.
• Outstanding oral and written communication skills.
• Evidence of strong leadership skills, including decisiveness, emotional intelligence, prioritization, negotiation, and equanimity in a fast-paced environment.
• Comfort with taking initiative, developing new systems, and adapting to procedural change as needed.
• Experience providing compassionate and effective customer service.
• A collaborative work style that facilitates long-term professional relationships.
• Flexibility to work outside of regular office hours for programs and events.

Education and/or Credentialing Requirements:
• Bachelor’s degree or the equivalent in education and experience
• 3+ years of progressive experience collaborating with high-performing teams and evidence of responsibility growth in the arts and culture field
• Experience beyond requirement will be considered in lieu of education requirement

Working conditions, typical physical/mental demands:
YoungArts physical campus and headquarters is located in Miami, FL. This role is based out of our Miami headquarters to meet business needs. Roles may evolve over time as we continue to work toward our mission and annual goals.
Work is performed in a hybrid setting (work from home/virtual and in-office). Typical operations take place in an office environment and/or in an event/venue setting.
General working hours are 9:00 am – 6:00 pm, Monday through Friday. The nature of our work will sometimes require an adjustment to this schedule, including evenings and weekends. Team members will normally be advised in advance should the work schedule need to be adjusted.
