No Third-Party, No Corp to Corp, No Sponsorship Now, Future or Temporary Authorization

Title: Executive Administrator

Location: Titusville, NJ

Hybrid (Mon-Fri, 40 hours), (3 days onsite) in Titusville, NJ may have to travel to Spring House, PA once a month (if needed)

Contract Duration: 6 months, with likely extension

Pay Rate: $37.35 per hour (w2)

POSITION SUMMARY

The CPP Executive Administrator provides executive administrative, project coordination, process, and business operations support to the Clinical Pharmacology and Pharmacometrics organization. This role supports CPP leadership and serves as a central point of coordination for calendars, meetings, reporting, trackers, communications, follow up, and day to day operational activities.

The ideal candidate is highly organized, proactive, detail oriented, and comfortable working independently in a global, matrixed pharmaceutical or biotech environment. The role requires strong communication, time management, judgement, follow through, and the ability to manage multiple priorities while supporting senior leaders and cross functional stakeholders.

RESPONSIBILITIES
  • Provide executive and administrative support to CPP leadership, including complex calendar management, meeting coordination, travel support, expense reporting, communications, and follow up.
  • Manage changing calendars across global time zones while coordinating multiple stakeholder requirements with professionalism and discretion.
  • Provide project and business operations support, including coordination, tracking, reporting, process improvement, and follow through on key initiatives.
  • Maintain and support operational reports, trackers, dashboards, and data sources used for leadership reviews, resource planning, financial oversight, and business decision making.
  • Run reports, interpret information from business systems and dashboards, and summarize key information for stakeholders.
  • Coordinate meetings, events, logistics, communications, knowledge management, and resource tracking.
  • Proactively identify gaps, risks, and potential issues; recommend practical solutions and escalating matters when appropriate.
  • Build effective working relationships with leadership, colleagues, business partners, project coordinators, administrative staff, consultants, suppliers, and vendors.
  • Work independently after training by applying available resources, documenting information, taking clear notes, and following through on commitments.
  • Leverage AI enabled tools such as Microsoft Copilot, Claude, or similar platforms to improve efficiency, streamline workflows, support drafting and summarization, and identify process improvement opportunities.
QUALIFICATIONS
  • Associate degree required; Bachelor’s degree preferred.
  • Minimum 5 years of relevant experience.
  • Pharmaceutical or biotechnology industry experience required, preferably within a research and development or matrixed environment.
  • Experience providing executive administrative support to senior leaders, including complex calendar management, is strongly preferred.
  • Experience in project coordination, project management, or business operations within a matrixed organization.
  • Advanced proficiency with Microsoft Office, particularly Excel, Word, PowerPoint, and Outlook.
  • Experience using AI enabled productivity tools such as Microsoft Copilot, Claude, or similar platforms highly preferred.
  • Strong written, verbal, presentation, and interpersonal communication skills.
  • Excellent organization, time management, attention to detail, and ability to manage competing priorities.
  • Ability to work independently, exercise sound judgment, adapt to changing priorities, and collaborate effectively across functions and levels.
  • Occasional flexibility in working hours may be required to support global teams.
  • Ability to travel to Spring House, PA approximately once per month, if needed.
REPORTING AND KEY INTERFACES

Reports to the CPP Business Operations Lead and works closely with the VP of CPP, CPP leadership and staff, project coordinators, administrative assistants, business partners, and external vendors.
