Job description

Scheduling Coordinator
Position Summary
The Scheduling Coordinator is responsible for coordinating and successfully filling interpreter assignments while providing excellent service to customers and professional interpreters. This is a fast-paced, high-volume role that requires strong communication, organization, attention to detail, and the ability to meet established productivity goals.
The position also supports interpreter recruitment, onboarding, reactivation, and account setup to help maintain sufficient interpreter coverage and support overall operational needs.
Compensation
Starting Base Pay: $18.00 per hour
Scheduling Coordinators are also eligible for individual commission and performance-based department bonuses.
Individual Commission
  • $0.75 per successfully filled regular assignment
  • $1.50 per successfully filled urgent assignment
An urgent assignment is generally defined as a request received less than 24 hours before the scheduled start time.
Total Compensation Opportunity
Depending on individual productivity and achievement of department performance goals, estimated total compensation may reach:
  • Tier 1: Approximately $25.00 per hour
  • Tier 2: Approximately $27.30 per hour
  • Tier 3: Up to approximately $31.00 per hour
Actual earnings vary based on assignments filled, the mix of regular and urgent assignments, hours worked, and achievement of applicable individual and department performance goals. Incentive compensation is performance-based and is not guaranteed.
Schedule
UniversalLanguage operates 24 hours a day, seven days a week. Employees must be available to work their assigned schedules, which may include evenings, weekends, and holidays.
Essential Responsibilities
  • Coordinate and successfully fill interpreter assignments based on client needs and interpreter availability.
  • Contact interpreters regarding available assignments and encourage qualified interpreters to accept appointments.
  • Manage a high volume of inbound and outbound telephone calls professionally and efficiently.
  • Monitor open, urgent, and difficult-to-fill assignments and take appropriate action to secure coverage.
  • Maintain accurate scheduling records and communicate assignment changes promptly.
  • Provide responsive and professional customer service to clients, interpreters, and internal teams.
  • Assist with recruiting, onboarding, reactivating, and re-onboarding professional interpreters.
  • Follow up with prospective and inactive interpreters regarding applications, documentation, account setup, and available opportunities.
  • Help maintain sufficient interpreter coverage to support client demand.
  • Meet established scheduling, productivity, attendance, customer service, commission, and department performance goals.
  • Perform additional scheduling and operational duties as assigned.
Minimum Requirements
  • High school diploma or equivalent.
  • Minimum typing speed of 35 words per minute with accurate data-entry skills.
  • Basic proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to quickly learn scheduling software and company procedures.
  • Ability to work a full eight-hour shift in a fast-paced, high-volume environment.
  • Ability to manage multiple priorities, meet deadlines, and remain productive under pressure.
  • Strong customer service, communication, and interpersonal skills.
  • Positive, energetic, and results-oriented attitude.
  • Strong organizational skills and attention to detail.
  • Ability to confidently present assignment opportunities and encourage interpreter acceptance.
