Job description

Summary

The Administrative Assistant will be responsible for the administration and reception of
the housing office. This position primary duty will be to provide clerical services to
assist with housing administration duties.


Duties & Responsibilities

  • Knowledge of general business practices, office and minimal filing procedures,
    and computer operations.
  • Ability to obtain working knowledge of the U.S. Department of Housing and
    Urban Development (HUD) Indian Housing Program and other Federal Housing
    programs.
  • Ability to establish and maintain harmonious, cordial, and effective relationships
    with residents, staff and other individuals or groups.
  • Directs preparation of records such as notices, minutes, agendas, and resolutions
    for Board of Commissioners and Director’s meetings.
  • Acts as custodian of housing documents and records.
  • Ability to administer front office operations, clerical duties to include answering,
    and route phone calls, compose and type memorandums/letters, schedule
    appointments, release information to callers and perform other related
    administrative/clerical duties.
  • Assists with the preparation and conducting of all audits and reviews of SFPHA.
  •  Must maintain confidentiality of all SFPHA files and resident’s applications.
  • Provides for the receipt, distribution, and disbursement of mail, payroll stubs &
    invoices.
  • Responsible for appropriate check signatures, including LOCCS Vouchers and
    documentation.
  • Maintain an inventory of office supplies to meet daily needs of staff.
  • Responsible for the operation, maintenance, and use of the office copy machine
    and FAX machine.
  • Performs other duties as assigned by the Executive Director and Financial
    Manager.

Qualifications & Skills
Six months to one-year related experience and/or training. Preferred experience in
working with Native Americans/Tribal Governments and speak/understand the Keres
language. To perform this job successfully, an individual must be able to perform each
essential duty satisfactorily. The requirements listed above are representative of the
knowledge, skill, and/or ability required. The SFPHA is handicap accessible and the
work environment is conducive to normal physical demands. The working hours are
from 8:00 AM to 5:00 PM, except for required evening and weekend meetings. Current
NM Driver’s License is required and must be insurable under SFPHA’s insurable
policies. Must successfully pass a pre-employment drug and alcohol-screening test and
be willing to do a criminal background check.
