Job description

POSITION SUMMARY:

Responsible for creating and maintaining monthly OD, OD Assistant, and Tele-Optometry Tech schedules for 100+ optometrists in 60-80 stores. Monitor attendance, call-offs, and schedule changes for ODs, ODAs, and TO Techs. Coordinate timely backfill solutions to prevent service disruption. Ensure schedules are posted within the required timeline and communicated clearly. Administer scheduling in alignment with SVS practices.


DUTIES AND RESPONSIBILITIES:

SCHEDULING PROCESS & PROCEDURE

• Monitor daily call-offs for all ODs, ODAs, and TO Techs and communicate to stores who the call-off pertains to

• Coordinate weekly with Compensation & Benefits to ensure Central Office (scheduling system) matches what C & B shows in ADP for the purposes of payroll

• Approve PTO and vacation requests for all ODs, ODAs, and TO Techs

• Ensure proper coverage is maintained across all retail locations based on need

• Create and communicate schedules for orientation/scheduling of new hire ODs, ODAs, and TO Techs

• Provide monthly Tele-Optometry Tech schedules and coverage details to DigitalOptometrics

• Collaborate weekly with corporate partners, including the SVS Director of Optometry and the Fielmann USA Director or OD coverage

• Track and communicate monthly any updates to prioritized Ford Motor Company locations

• Track and communicate weekly OD hour changes and OD bonus list

• Maintain the OD roster of 100+ ODs and which locations they are credentialed

• Manage and respond to a constant flow of daily emails from teammates including ODs, ODAs, TO Techs, field teams, and retail managers and staff, ensuring timely and accurate support


MINIMUM KNOWLEDGE, EXPERIENCE & SKILLS REQUIREMENTS:

• High School graduate or equivalent

• Associate’s degree in healthcare administration, business administration, or a related field

• 1-3 years’ health care business experience, preferably in an optical setting

• 1+ years of supervisory/management experience

• Strong experience in health care scheduling operations and practices

• Able to work cross-functionally with excellent attention to detail and follow through

• Solid interpersonal relationship skills

• Strong problem-solving skills to identify problems and develop solutions

• Strong oral and written communication skills

• Proven ability to work collaboratively in a fast paced, matrix environment

• Solid organizational and planning skills

• Excellent attention to detail

• Proficient with the Microsoft Office Suite of programs


ESSENTIAL FUNCTIONS & WORK REQUIREMENTS:

• Ability to effectively communicate at all levels within the organization through written and two-way verbal communication

• Able to sit or stand for extended periods of time

• Able to operate various office equipment (e.g., personal computer, telephone, fax machine, copier, etc.)

• Able to read and write at a high school graduate level

• Able to lift 10 to 20 pounds

• Able to view/read computer screen for extended periods of time

• Able to work normal and/or extended (evenings, nights, and weekends) office hours to meet established deadlines

• Able to travel independently to support Company objectives and personal development
