Our firm is seeking a receptionist to join our Birmingham, Alabama office. As the first point of contact for clients, visitors and team members, you will play an important role in creating a welcoming experience and keeping the office running smoothly. This position supports day-to-day front desk operations, administrative needs and client service activities across the office.

Key Responsibilities:

Front Desk Operations

• Welcome and direct clients, visitors and staff in a courteous and professional manner.

• Answer and route incoming calls; manage voicemail and general inquiries, including those from clients regarding tax, audit and consulting services.

• Maintain a clean and organized reception area, reflecting the firm’s commitment to professionalism.

Administrative Assistance

• Schedule firm-wide meetings and support team events by ordering food and refreshments, setting up and cleaning up event spaces and maintaining a clean, organized and well-stocked office kitchen and common areas.

• Prepare and distribute internal communications, client correspondence and appointment reminders.

• Manage all incoming and outgoing mail and courier services.

• Assist with document management, filing, scanning and basic reporting as needed.

• Assist with data integrity and administrative tax processing projects across the firm.

• Order office supplies and coordinate facility maintenance requests.

Client Service Support

• Assist with client intake, including gathering basic information and directing clients to the appropriate staff member.

• Support the accounting team with administrative tasks related to client engagements, such as organizing tax documents, audit files and engagement letters.

• Maintain confidentiality of sensitive client and firm information at all times.

Team Collaboration

• Communicate effectively with staff at all levels to support office operations and client service.

• Provide general support to accounting, tax, audit and administrative teams as needed.

• Participate in team meetings and contribute to process improvement discussions.

Qualifications:

• High school diploma or equivalent required; associate degree or higher preferred.

• Previous experience in a receptionist, administrative assistant or office support role, ideally in a professional services or accounting environment.

• Strong organizational skills and attention to detail.

• Excellent verbal and written communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel and Outlook); experience with accounting software or document management systems is a plus.

• Ability to handle confidential information with discretion.

• Professional, service-oriented approach, adaptability and willingness to learn new systems and processes.

Preferred Skills:

• Experience with data entry and office management tools.

• Familiarity with basic accounting terminology and client service standards.
