Job description

Be a key player in driving operational efficiency and boosting team productivity! In this role, you’ll provide essential administrative and project support to our Business Unit and Project Managers—managing task workflows, tracking permits, maintaining project systems, and assisting with scheduling, data analysis, and database management. Pay Range: $19-20

What You\'ll do: 

  • Perform data analysis, data entry, and database management, including creating reports and formulas using tools such as Vision, Excel, and Sharepoint.
  • Maintain and update project needs, ensuring accuracy of progress, milestones, and deliverables through coordination with project managers and engineers.
  • Manage Jira databases and workflows, including creating, assigning, and tracking tasks, and developing dashboards and reports to monitor team workload and progress.
  • Track permits by maintaining logs and status trackers, coordinating with internal teams and external agencies, and providing timely updates to project leadership.
  • Support project scheduling, deliverable tracking, proposal preparation, and invoicing activities.
  • Research, prioritize, and follow up on incoming issues and concerns for Project Managers and Business Unit leadership.
  • Assist with engineering-related tasks, including documentation, reporting, and process improvements to enhance team efficiency.
  • Manage special projects for the Business Unit and serve as backup support to the Administrative Assistant as needed.
  • Perform other miscellaneous job-related duties as assigned.

Minimum Requirements:  

  • 1–3 years of experience in database management, project administration, or a related field
  • Associate’s or Bachelor’s degree preferred
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel (advanced preferred), PowerPoint, and Access (preferred); experience with Microsoft Project is a plus
  • Strong organizational skills with a high attention to detail
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications:

  • Experience with project/task management tools
  • Familiarity with engineering, construction, or technical project workflows
  • Experience with permitting processes or compliance documentation
  • Ability to analyze data and generate clear, actionable insights
  • Strong organizational skills with a high attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
