Administrative Assistant

This position is for our SPK Campus.

Our professional office staff, more commonly referred to as administrative assistants, shall have excellent organization skills and a personable disposition to keep them thriving. Some defining traits of FLT Academy's administrative assistants are that they have a natural ability to roll with the punches, love being flexible to handle anything that might come their way, and most importantly are strong and reliable support to company operations, maintaining and creating procedures, communication, and safety. Administrative assistants are often the first face employees and students will see and are relied upon heavily for problem solving. Administrative assistants allow us to achieve organizational efficiency and nurture the pleasant work environment our people love.

Essential Functions:

  • Maintain student files and training records
  • Receive, process, and record fuel reimbursement requests
  • Manage multiple aircraft, student, and instructors' schedules if required
  • Prioritize and manage multiple tasks assigned or self-generated
  • Answer telephone calls and emails, disperse and/or seek information
  • Audit flight and ground times for accuracy to ensure proper billing may occur
  • Must be able to qualify to proctor exams
  • Assist in office management and organizational processes
  • Track and update office and pilot supply lists if asked
  • Plan and book venues for company events if required

Skills and Qualifications:

  • Strong organizational skills, time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Proficiency in Microsoft Word, Excel, Outlook
  • Aptitude to learn new software and systems

Preferred Qualifications:

  • Associates degree or higher in a related field
  • Minimum of 2 years' experience in a clerical position
  • Strong knowledge of office procedures and basic accounting practices
  • Aviation experience
  • Proficiency with Microsoft Office
  • Exceptional communication and customer service skills
  • Possess the ability to manage and prioritize multiple tasks at once.
  • Available on weekends
