We are seeking a Client Support Specialist who will be the first point of contact for clients and play a key role in ensuring a positive, seamless experience throughout their care journey.
Position Summary
The Client Support Specialist is responsible for delivering exceptional customer service to new and existing clients, managing administrative and front-office duties, and supporting the daily operations of the practice. This role requires strong communication skills, attention to detail, and the ability to maintain professionalism and confidentiality in a mental health setting.
Key Responsibilities Client Support & Communication

Serve as the primary point of contact for clients via phone, email, and in person.

Provide warm, empathetic assistance to clients seeking information about services, scheduling, or general support.

Guide new clients through the intake process, including paperwork, insurance verification, and appointment setup.

Respond promptly to inquiries and follow up as needed to ensure a positive client experience.
Scheduling & Coordination

Manage clinician calendars and schedule appointments efficiently.

Communicate schedule changes or cancellations to both clients and clinicians.

Coordinate telehealth links and ensure clients are prepared for virtual sessions.
Administrative Duties

Assist with maintaining electronic health records and ensure accurate documentation.

Verify insurance benefits and assist clients with understanding coverage and payment options.

Process payments, maintain billing records, and support insurance claims when needed.

Support office organization and ensure a clean, welcoming environment.
Practice Operations Support

Assist with onboarding tasks for new staff as needed.

Collaborate with the team to improve workflows and enhance client experience.

Maintain strict confidentiality in accordance with HIPAA and practice policies.
Qualifications Required:

High school diploma or equivalent; associate or bachelor's degree preferred.

1+ years of experience in client service, administrative support, or a similar role.

Strong communication and interpersonal skills with a client-centered approach.

Proficiency with scheduling systems, EHR software, or ability to learn.

Excellent organizational skills and attention to detail.

Commitment to confidentiality and professionalism.
Preferred:
