Job Overview
We are currently seeking an Administrative Assistant who deeply cares for others and possesses the intuitive skills to connect with people and provide exceptional service. As the first point of contact, this role plays a crucial part in shaping our clients' first impressions. The ideal candidate will provide essential support to the Wealth Manager/Financial Planner, ensuring the seamless operation of our office. This role requires someone who is comfortable working independently when the Wealth Manager is traveling or meeting with clients outside the office. Responsibilities

Duties include but are not limited to:
- Manage office communications, correspondence, and phone calls.
- Address customer inquiries and provide exceptional support.
- Coordinate appointments, meetings, and travel for the Wealth Manager.
- Assist with office management duties to maintain a well-organized workspace.
- Perform administrative tasks such as data entry, filing, and document preparation.
- Open accounts, transfer funds, and assist clients with related tasks.
- Manage CRM and assist with preparation for client meetings (i.e., paperwork, requirements, etc).
- Provide daily summaries of completed and pending tasks to the Wealth Manager.

Skills
- Strong proofreading skills with attention to detail for accuracy and clarity.
- Excellent administrative and multitasking abilities.
- Proven customer support with outstanding oral, written, phone communication, and listening skills.
- Strong interpersonal skills for building and fostering relationships.
- Knowledge of office management procedures and basic finance principles.
- Proficiency in data entry, record-keeping, and Microsoft Office Suite, especially Excel.
- Ability to manage multiple projects with deadlines, analyze data, and solve problems effectively.

Preferences
- Experience supporting Financial Advisors or working in the financial industry.
- Paralegal experience is a plus.
- Ability to occasionally lift 30-50 lbs.
