We currently have an opportunity for a Client Service Associate to join our Retirement and Private Wealth team in our Rockville, MD office on a hybrid work schedule.
The selected individual will be responsible for preparing client reviews and providing administrative support to the advisor's to ensure our clients experience outstanding service. The successful candidate must be a detail-oriented individual with exceptional organizational, communication and interpersonal skills.
Job Responsibilities:
  • Support the onboarding of new clients including creating client profiles, scheduling kick-off calls and meetings, collecting key documents, setting up files, and updating the CRM system.
  • Maintain the master calendar of client deliverables per the service plan and project management tracking system.
  • Schedule upcoming client activities including committee meetings and annual reviews.
  • Assist team members in preparing for upcoming client meetings including creating agendas, handouts, reports, loading iPads, and other key materials including meeting templates.

  • Assist advisor and department manager with quotes, applications, implementation and servicing of life, disability, and long-term care policies.
  • Ensure that proper client meeting notes are received, reviewed, filed, and notable action items are scheduled and/or assigned.
  • Support the process of invoicing clients as required per the written agreement.
  • Follow up on outstanding action items and issues with internal teams until completed or resolved.
  • Assist with the daily activities of the advisor and department manager.
  • Assist with research and special projects.
  • Coordinate activities with third party vendors and business partners.
  • Track key metrics for client annual report cards.
  • Generate internal reports.
  • Keep client contact information up to date.
  • Attend weekly staff meetings and quarterly offsite meetings.
  • Maintain and update the Client Service Manual including key checklists and templates.
  • Other responsibilities as assigned by Manager.

Qualifications:
  • College degree.
  • Retirement plan designation through the National Association of Plan Sponsors (NAPA) or ability to obtain a designation after hire.
  • Experience in a client service administrative role; must have a passion for client service.
  • Financial services / retirement plans experience is required.
  • Familiarity with LPL Financial is a plus
  • Proven ability to manage multiple projects, assignments and tasks in a timely fashion by prioritizing and organizing daily work activities.
  • Proficiency with Microsoft Office products.
  • Experience utilizing CRM systems and project management tools.
  • Must have superior organizational, planning and time management skills.
  • Excellent written, verbal communication, listening and thinking skills.
  • Must take the initiative to ask questions, recommend changes and improve operational efficiency.
  • Proven ability to work in a fast pace client service environment.
