THE ROLE: The Inside Sales Coordinator at Xylem's Smith-Blair is the front line for customers and channel partners, owning order entry, status updates, and communication around orders while guiding product selection for water, gas, and industrial applications. You'll collaborate daily with Outside Sales, Applications Engineering, Shipping, and Buyer/Planners to deliver accurate orders and on-time shipments.
CORE RESPONSIBILITIES: To perform the job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Accurately enter and maintain orders in Oracle; validate Bill-To/Ship-To, pricing, lead times, special instructions, delivery/shipping dates, and item availability; coordinate changes/expedites.
  • Provide proactive updates on stock status, open orders, shipment dates, backorders, and shipment history; escalate risks early.
  • Respond to customer and outside sales inquiries via phone, email, and portal within team set targets.
  • Process debits/credits, RMAs, and warranty requests in a timely, policy-compliant manner.
  • Document customer interactions in Front and customer complaints in Zoho.
  • Follow SOPs and work instructions.
  • Work with quote specialists to ensure quotation requests are processed to the customer's specification and in the time allowed.
  • Complete required on-site/off-site and virtual training to maintain product, system, and compliance proficiency and engage in continuous learning to grow as a professional.
  • Participate in Xylem Watermark volunteer activities.
  • Perform other job-related duties as assigned by management.

QUALIFICATIONS:
  • High School Diploma
  • Computer proficiency in Microsoft 365
  • Calm under pressure, great at de-escalation and first-call resolution
  • Collaborative team player
  • Ability to read basic specs/submittals
  • Interest in learning water/industrial/gas product lines
  • Strong math and analytical skills
  • Positive team contributor who works well with all team members
  • Accurate typing at least 45 WPM
  • Proficient in oral and written communications
  • Associate or Bachelor's Degree (preferred)
  • Oracle based system experience (preferred)
  • Experience in manufacturing, distribution, or public-sector/utility sales (preferred)

Working Conditions:
This role operates in both a climate-controlled office and a plant/manufacturing environment. Employees may experience periodic exposure to indoor and outdoor areas. Employees are regularly required to sit or stand, reach, bend, and move about the facility. Employees are regularly required to listen to, speak with, and see employees and customers throughout the day. Employees are regularly required to communicate using written, electronic, and verbal methods. Employees occasionally lift and carry up to 35 pounds.
