Job description

We are searching for our next Purchasing Assistant. This is a full-time, administrative support role that works directly with our Purchasing Manager to keep the purchasing function running smoothly. This is not a field or procurement strategy role — it is an office-based position centered on data accuracy, document management, and system organization within Buildertrend and Excel.

The right candidate is detail-oriented, comfortable working within established processes, and confident in managing a high volume of administrative tasks with minimal oversight. You will play a critical role in keeping job budgets, purchase orders, vendor pricing, and purchasing documentation current and accurate across our active project portfolio.

Compensation:

$25 - $30 hourly DOE


Responsibilities:

Purchase Order & Budget Administration

  • Issue initial job purchase orders (POs)
  • Process Variable Purchase Orders (VPOs) and ensure proper documentation
  • Reconcile POs to confirm amounts, approvals, and job coding
  • Prepare and submit warranty POs for items over $500
  • Review AP reports and flag discrepancies for the Purchasing Manager
  • Assist with job budgets in coordination with the Purchasing Manager

Bidding & Quoting Support

  • Coordinate septic bids and compile results for Purchasing Manager review
  • Prepare job bid packages for new projects
  • Support competitive quoting processes as directed
  • Process Non-Standard Option (NSO) requests
  • Coordinate HOA annual maintenance bids for applicable communities

Pricing & Cost Maintenance

  • Maintain the cost catalog and price list, keeping data current and accurate
  • Process construction-related Change Orders
  • Coordinate annual pricing updates for designated categories (well, water softener, water/sewer, and others)
  • Assist the Purchasing Manager with sourcing activities

Inventory Administration

  • Conduct and maintain an inventory of warehouse stock
  • Process stock reorder requests as inventory thresholds are reached

Qualifications:
  • Prior administrative or operations support experience – construction industry experience is a plus, but not required
  • Strong attention to detail and a track record of accuracy in data entry or document management
  • Comfortable working in Buildertrend or similar construction management software (training provided)
  • Proficient in Microsoft Excel
  • Able to manage multiple open tasks and prioritize effectively in a fast-paced environment
  • Self-directed and reliable – you follow through, meet deadlines, and ask questions when something is unclear
  • Professional communicator with vendors and internal team members
