Job Description

This is an important multi-function role in a Business Centre reporting to the Business Centre Manager. We are seeking a highly organized and versatile Operations Coordinator to support multiple business functions, including purchasing, logistics, inside sales, and warehouse operations. This role is ideal for someone who thrives in a fast-paced environment, can manage competing priorities, and is comfortable wearing multiple hats.
MAIN RESPONSIBILITIES:

Purchasing & Vendor Management

  • Assist in sourcing, purchasing, and order placement of materials and equipment
  • Coordinate with suppliers on pricing, availability, and delivery timelines
  • Track purchase orders and ensure timely receipt of goods
  • Manages the inventory write-downs with manager assistance to minimize their financial impact on the Business Centre;
  • Analyses and quickly corrects inventory discrepancies;
  • Working with the Business Centre Manager and salespeople, evaluates new products and product lines, and recommends them;
  • Maintains the integrity of special SKU costs in the system;
  • Keeps supplier data (special costing, lead-time, etc.) up-to-date;
  • Creates new stock SKU's when needed;

Logistics & Inventory Coordination

  • Plan and coordinate inbound and outbound shipments
  • Work with freight carriers and logistics partners to ensure cost-effective delivery
  • Monitor inventory levels and assist in stock replenishment planning
  • Organize and coordinate shipment paperwork for international shipments with broker for timely clearance.
  • Book pick ups for local and cross border shipments.
  • Obtain quotes and arrange shipments with freight forwarders
  • Monitor shipments until final delivery
  • Review freight invoices
  • Resolve claims for damaged shipments

Inside Sales Support

  • Respond to customer inquiries and provide product/service information
  • Prepare quotes, process sales orders, and follow up with customers
  • Support the sales team with administrative and coordination tasks

Warehouse Support

  • Assist with receiving, organizing, and tracking inventory
  • Ensure accurate documentation of incoming and outgoing materials
  • Support periodic inventory counts and reconciliation
Qualifications
  • 3+ years of experience in operations, logistics, purchasing, or inside sales
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word); ERP experience is an asset
  • Excellent communication and problem-solving abilities
  • Ability to work independently and as part of a team
Preferred Skills
  • Experience in supply chain or distribution environment
  • Familiarity with inventory management systems
