Hours: Monday through Friday. 8am-4:30pm.
Job Summary:
The Office Administrator / Warehouse Inventory Coordinator supports both administrative and warehouse operations by managing office tasks, maintaining inventory accuracy, and coordinating shipments. This position requires strong organizational skills, attention to detail, and the ability to work effectively in both an office and warehouse environment.
ESSENTIAL FUNCTIONS
Office Administration
  • Answer and direct incoming phone calls in a professional manner.
  • Enter customer orders and process invoices accurately.
  • Prepare, maintain, and organize files and business records.
  • Coordinate Less-Than-Truckload (LTL) and Full Truckload (FTL) shipments.
  • Create, update, and maintain spreadsheets, reports, and other documentation.
  • Assist with additional administrative duties as assigned.

Inventory & Warehouse Operations
  • Perform cycle counts to ensure inventory accuracy.
  • Generate and analyze inventory reports for cycle counting and inventory control.
  • Create and maintain inventory tracking spreadsheets.
  • Update inventory records and related files as needed.
  • Assist with inventory audits and reconciliation of discrepancies.
  • Move throughout the warehouse to verify inventory and support daily operations.
  • Maintain awareness of forklift traffic and follow all warehouse safety procedures.
  • Perform additional warehouse and inventory-related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES
  • Proficiency with Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to create, maintain, and analyze spreadsheets and reports.
  • Effective verbal and written communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Basic understanding of inventory control and warehouse operations.
  • Ability to work independently and as part of a team.

PHYSICAL REQUIREMENTS
  • Ability to occasionally lift up to 40 pounds.
  • Ability to stand, walk, bend, and move throughout the warehouse and office during the workday.
  • Ability to safely work in a warehouse environment with active forklift traffic.
  • Ability to use standard office equipment and computers for extended periods.

PREFERRED QUALIFICATIONS
  • Previous administrative, inventory control, or warehouse experience preferred.
  • Experience coordinating LTL and FTL shipments.
  • Experience with inventory management systems or ERP software is a plus.
  • Strong Microsoft Excel skills, including creating and managing spreadsheets, preferred.
