Job description

Job Title: Warehouse (Distribution) Administrative Assistant

Location: San Antonio, TX
Employment Type: Full-Time, On-site
Work Schedule:  7:00 AM – 3:30 PM
Salary-$18-$21/hour


Position Summary

The Warehouse (Distribution) Administrative Assistant provides administrative and purchasing support for plant and warehouse operations. This role assists with procurement activities, inventory coordination, and vendor communication while supporting the company’s broader procurement strategy. The position reports directly to the Purchasing Manager and works closely with Warehouse, Inventory Control, Accounts Payable, Quality Assurance, and external vendors.


Qualifications & Experience
  • 1–2 years of experience in an administrative, purchasing, warehouse, or distribution support role

  • Strong organizational, written, and verbal communication skills

  • Ability to manage multiple tasks efficiently in a fast-paced environment

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

  • Experience using an ERP or ordering system required

  • NetSuite experience strongly preferred, but not required

  • Working knowledge of Accounts Payable and invoicing processes


Key Responsibilities
  • Create and issue purchase orders for warehouse and factory consumables, office and breakroom supplies, and general plant needs

  • Follow up with vendors to obtain required documentation, including order confirmations, Certificates of Analysis (COAs), packing lists, and Bills of Lading (BOLs)

  • Coordinate and schedule raw material transfers from third-party logistics providers (3PLs)

  • Liaise with Accounts Payable to ensure invoices and receipts are accurate; resolve discrepancies promptly to minimize operational impact

  • Coordinate with vendors, Quality Assurance, and Accounting to process returns and credits

  • Collaborate with Inventory Control and Receiving teams to assess material needs and support daily warehouse operations

  • Utilize NetSuite to update purchase orders, receipts, schedules, and reports

  • Perform additional duties as assigned to support warehouse and procurement operations
