Job description

Our annual gala is our biggest event of the year, where we celebrate community, connection, and the impact of our mentors and supporters. Click here to watch local coverage of the 2026 gala. The Big Night Out Gala will be held on March 5, 2027.

Any time you can give us is appreciated, but we ask for at least two hours so that you can get acclimated! We will need help with setup, checking guests in and out, assisting with the silent auction, taking photos, videography, and packing everything up at the end of the night. Below is an itemized list of responsibilities, so please take a look at the times and decide which youโ€™d prefer! 10am โ€“ Noon: Packing and Transporting

  • Help transport things from the BBBSR office (1 S. Washington St. 14614) to Arbor Midtown (183 E. Main St. 14604) which is approximately .6 miles.
  • Help pack and unpack cars

11am โ€“ 4pm: Setting Up

  • Systems support for registration (training provided)
  • Set up tables with decorations and collateral
  • Set up photo areas (backdrops, props, etc.)
  • Set up silent auction baskets
  • Test the silent auction process
  • Place signage on tables and in designated areas in the ballroom
  • Cover staff and fellow volunteer breaks

4:30pm โ€“ 10pm: Supporting the Event

  • Dress: dress slacks and a blouse or a dress for women, dress slacks and a button-down shirt for men and a suit jacket. Tie is optional.
  • Monitor elevators and assist when the key fob is needed
  • Welcome, take coats, and show guests the way
  • Systems support for registering guests as they arrive
  • Work alongside registration to hand-out paddle numbers
  • Assist with running silent auction and picking up baskets at the end of the event
  • Assist in the photo area and encourage sharing photos on social
  • General support as needed
  • Sell raffle tickets
  • Take photos and/or video of the evening
  • Cover staff and fellow volunteer breaks
  • Thank guests for coming and assisting with the final check out. Encourage final photos and sharing on socials

10:00 pm โ€“ 11:30 pm: Packing and Transportation

  • Assist with tear down and clean up
  • Pack all assets (table decor, collateral, signage, etc.) and supplies
  • Transport boxes back to office and unload to the first floor
