Role Summary

Under the leadership of the Senior Director of Philanthropy, this role executes the program goals and strategies developed for the RS Volunteer Program while also providing essential donor services and gift-processing support. The position owns the volunteer pipeline; recruits and stewards volunteers and corporate, civic, and church partners; coordinates high-quality engagement experiences; and maintains accurate data that demonstrates impact and supports continuous improvement. This role requires strong relationship-building skills, careful attention to detail, sound judgment, and systems thinking. The position reports through the Philanthropy Department and coordinates with RS Programs, Development, Finance, and other departments, with primary program support for Thelma’s Kitchen and Foster Grandparents.
Primary Outcomes (First 12 Months)

•  Volunteer shift fill rate of at least 90%, with strong show-up and retention rates and a documented recognition cadence.
•  Corporate, church, and civic group engagement grows quarter over quarter through volunteer events, gifts-in-kind, and sponsorship opportunities, with clear conversation tracking in the CRM and development pipeline.
•  Standard monthly dashboards and quarterly insight briefs are delivered on time, and data quality reviews are completed according to schedule.
•  Documented, repeatable procedures are maintained for volunteer onboarding, group events, gift entry, donor acknowledgment support, and data collection/reporting across systems.

Key Responsibilities

1.  Volunteer Recruitment and Management

a.  Execute a comprehensive volunteer strategy approved by the Senior Director of Philanthropy and aligned with organizational goals.
b.  Recruit, screen, onboard, train, schedule, and recognize volunteers; match volunteer skills and interests to organizational needs and site readiness.
c.  Develop group opportunities for corporate, church, and civic partners; coordinate special events and gifts-in-kind drives.
d.  Maintain accurate volunteer records, including hours, roles, and compliance requirements; report on pipeline, participation, outcomes, and satisfaction.
e.  Represent the organization at community and networking events and serve as a primary contact for volunteers and partners.

2.  Data, Reporting and Insights

a.  Coordinate data surrounding volunteerism and produce routine dashboards for Programs, Development, and leadership.
b.  In conjunction with the development team, review decision-making around grants, donor communications, volunteer metrics, and conduct periodic data quality reviews and procedural reviews. 

3.  Cross-Functional Collaboration

a.  With Programs and Operations: align volunteer roles with program needs; plan targeted placements, including Thelma’s Kitchen and REVEAL programs, and ensure sites and supervisors are prepared.
b.  With Development and Marketing: provide accurate stories, metrics, lists, and segments; coordinate group engagements, donor acknowledgment production, and stewardship touchpoints.
c.  With Human Resources: support culture-forward volunteer experiences and align screening, training, and recognition practices.

4.  Additional Collaboration (as needed) Gift Processing and Donor Acknowledgment Support

a.  Open and sort daily mail in a secure and consistent location; identify checks, cash, pledge forms, donor notes, reply cards, matching-gift notices, and other donor-related documents.
b.  Enter incoming mail gifts into Giveffect using approved coding instructions, including donor information, gift date, amount, payment type, designation or restriction, campaign or appeal, pledge information, tribute details, and relevant notes.

Qualifications

•  3+ years of experience in community engagement, volunteer management, donor services, administrative coordination, or a related stakeholder-facing role.
•  Strong relationship-building and communication skills; able to present to groups and work comfortably with diverse stakeholders.
•  Highly organized and detail-oriented, with the ability to coordinate events, maintain accurate records, protect confidential information, and balance field work with desk-based administrative responsibilities.
•  Proficiency with Google Workspace and Microsoft Office; familiarity with Giveffect or similar CRM preferred.
•  Intermediate spreadsheet skills, including formulas, charts and pivot tables.
