Job description

Job Title: Document Control Specialist
Job Description
The Document Control Specialist provides critical support for document routing, Adobe Sign workflows, data entry, and tracking logs, ensuring accurate and compliant document control processes. This role offers comprehensive training and is an excellent opportunity for individuals with strong administrative experience and exceptional attention to detail who are looking to expand their skills in a regulated environment.
Responsibilities
  • Route documents through established approval and review processes to ensure timely completion.
  • Manage and monitor Adobe Sign workflows, including initiating, tracking, and closing electronic signature requests.
  • Perform accurate and efficient data entry into tracking logs, databases, and other document control systems.
  • Maintain and update document control logs to ensure all records are current, complete, and properly organized.
  • Support document coordination activities, including version control, distribution, and archival of documents.
  • Follow established procedures and standard operating procedures (SOPs) to maintain compliance with internal and regulatory requirements.
  • Collaborate with internal stakeholders to obtain necessary information, signatures, and approvals in a professional and timely manner.
  • Provide administrative support related to document control, including preparing, formatting, and organizing documents.
  • Use Microsoft Excel and Word to create, update, and manage spreadsheets, reports, and document templates.
  • Communicate clearly and professionally via email and other channels to support document-related requests and status updates.
  • Ensure reliable attendance and consistent availability to support ongoing document control activities.
  • Assist with change control documentation processes as needed, following established change control procedures.
Essential Skills
  • Demonstrated experience in data entry, document coordination, or administrative support.
  • Proficiency with Microsoft Office Suite, including strong skills in Microsoft Excel and Word.
  • Experience using Adobe and Adobe Sign for document workflows and electronic signatures.
  • Strong computer skills with the ability to learn and navigate document control systems quickly.
  • Exceptional attention to detail and accuracy in data entry and document handling.
  • Ability to follow established procedures and SOPs consistently and precisely.
  • Reliable attendance and dependability in an onsite, full-time role.
  • Professional communication skills, both written and verbal.
  • Ability to work 100% onsite and support document control activities throughout the workday.
Additional Skills & Qualifications
  • Prior document control experience in a business or regulated environment.
  • Experience with change control processes and documentation.
  • Desktop publishing experience, including formatting and preparing professional documents.
  • Background in a medical device or other regulated industry, with familiarity in compliance-driven documentation.
  • Strong organizational skills and the ability to manage multiple document workflows simultaneously.
  • Ability to adapt to established systems and processes and contribute to continuous improvement of document control practices.
Work Environment
This position is based 100% onsite in a professional office environment. The role supports a regulated setting, such as medical device or similar industries, where adherence to procedures and documentation standards is essential. The schedule is Monday through Friday, approximately 8:00 AM to 5:00 PM, with some flexibility available. You will work primarily on computers using Microsoft Office applications, Adobe, and Adobe Sign, and will spend most of the day managing electronic records, logs, and workflows. The environment is structured, process-driven, and collaborative, with a focus on accuracy, compliance, and reliable support during a defined coverage period of approximately six weeks.

Pay and Benefits
The pay range for this position is $18.50 - $20.00/hr.
