The Opportunity:

As a key contributor on our Donor Experience team, the Event Coordinator turns vision into reality by supporting the planning and flawless execution of meaningful events.

In this role, you will support the planning, coordination, and execution of a broad range of stewardship and engagement events from intimate donor recognition gatherings to larger regional and university-wide experiences. We are looking for a highly organized, detail-oriented, and energized team member to join us in creating meaningful experiences for people.

Responsibilities:

Event Logistics & Execution

  • Coordinate logistics for a variety of stewardship and engagement events, including donor society events, college and departmental events, and regional gatherings. Support on-site event execution, with occasional travel and some evening or weekend availability required.

Registration & Records Management

  • Build and maintain event records and online registration pages using our CRM and event management platforms and manage RSVPs and guest communications throughout the event lifecycle.

Digital Invitations & Communications

  • Assist in the creation of digital invitations and event-related communications that reflect the UCF brand and effectively engage our audience.

Project & Work Order Tracking

  • Create, track, and manage work orders for event-related projects, ensuring tasks are completed on time and nothing falls through the cracks.

Contracts & Vendor Management

  • Support the contract review and approval process for event vendors and venues using our contract management system, tracking submissions and approvals from start to finish.

Financial Administration

  • Manage and track invoices, expense reports, and payments associated with events, maintaining accurate and organized documentation throughout.

Minimum Qualifications:

Bachelor's or Master's degree and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6).

Preferred Qualifications:

  • Experience coordinating events in a higher education, nonprofit, or fundraising environment.

  • Familiarity with CRM platforms or event management software (e.g., Salesforce, Blackbaud, or similar tools).

  • Experience building online event registration pages and managing RSVPs.

  • Strong organizational and project management skills with the ability to manage multiple events and deadlines simultaneously.

  • Experience with contract tracking or vendor management processes.

  • Comfort with financial administration tasks such as processing invoices, expense reports, and payments.

  • Proficiency with digital communication tools and experience creating or supporting digital invitations or email campaigns.

  • Excellent written and verbal communication skills.

  • A collaborative, team-oriented mindset with strong attention to detail.

This position requires flexibility to travel and work occasional evenings and weekends to support events.
