Patents Department Executive Assistant
? Carlsbad, CA (Onsite) ? 40 Hours/Week ? 6-Month Contract
We're seeking an organized, detail-oriented Patents Department Executive Assistant to support a busy Patent Department and two executives at our client's main campus in Carlsbad, CA. This is an excellent opportunity for an experienced administrative professional who thrives in a fast-paced environment and has an interest in intellectual property, legal operations, or patent administration.
What You'll Do
  • Provide comprehensive administrative support to the Patent Department
  • Manage Outlook calendars, travel arrangements, and expense reporting for two executives
  • Coordinate and schedule department-wide meetings, including audiovisual logistics
  • Organize onsite meetings, conference rooms, catering, and related event logistics
  • Locate, print, file, and maintain contracts, patents, and other key documentation
  • Create and enhance PowerPoint presentations for business needs
  • Track and manage litigation update letters
  • Support document management processes, including Publication Clearance workflows
  • Interface with internal systems and databases to maintain accurate records
  • Perform notary duties (preferred)

Preferred Qualifications
  • Prior experience supporting legal, patent, intellectual property, or corporate departments
  • Strong proficiency with Microsoft Office Suite, especially Outlook and PowerPoint
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple priorities and maintain confidentiality

Nice-to-Have Experience
  • Filing paperwork with the U.S. Patent and Trademark Office (USPTO)
  • Working with Foundations IP or similar docketing systems
  • Experience using contract database management systems
  • Current Notary Public certification or willingness to obtain one
