High School Administrative Assistant

Part-Time | Virtual | Grades 9-12

Position Overview

Idaho Home Learning Academy (IHLA) is seeking an organized, motivated, and positive individual to serve as a High School Administrative Assistant. IHLA is Idaho's largest K12 public virtual charter school, serving approximately 7,000 students across more than 70% of Idaho's zip codes. This position works closely with high school counselors, office staff, and administration to support student success through strong organizational and communication skills.

The ideal candidate brings a family-focused approach, exceptional attention to detail, and a genuine commitment to serving students and families in a remote environment. This individual must display a high level of integrity, honesty, and reliability, and be prepared to work independently in a fast-paced virtual setting.

Key Responsibilities

  • Serve as primary point of contact for parents regarding high school student funding needs.
  • Communicate with funding teams from vendors or colleges across the state to process student payments as needed
  • Work within the student information system (PowerSchool) and the Supplemental Learning Fund system to verify accuracy between student schedules, funding requests, and available funds.
  • Monitor and reconcile discrepancies between student schedules and fund allocations, escalating issues as needed
  • May be asked to provide support for weekly student attendance processes as needed
  • Collaborate with the Supplemental Learning Funds team, office staff, and administration on a wide range of administrative duties
  • Attend weekly meetings via Zoom and contribute to team coordination efforts
  • Communicate regularly and effectively with students, parents, and administration regarding funding questions, processes, as well as a range of other assigned clerical duties.
  • Respond to all email communications within 24 hours on weekdays and manage a high volume of daily communications
  • Know and consistently follow IHLA school policy
  • Maintain strict confidentiality of all student information in accordance with FERPA and school policy
  • Perform other clerical and administrative-support duties as assigned

Virtual Work Requirements

This is a fully remote position. The following conditions are required:

  • Must be visible on Zoom during all meetings, working from a home environment free of distractions from children and pets
  • Must maintain a dedicated home office space appropriate for professional virtual meetings, free from distractions from children and/or pets. Must work from this stationary location consistently during all scheduled hours to ensure reliable internet connectivity and audio/video quality. Working while traveling, commuting, or from a vehicle is not permitted
  • Must be prepared for live Zoom meetings that may span multiple hours in a day
  • Must provide your own telephone and high-speed internet connection
  • IHLA will provide a computer equipped with audio and video capabilities
  • Occasional evening or Friday work may be required
  • Must provide a set schedule of daily consecutive 4.5 working hours within the core availability window of: 7:30-4:30 Monday-Thursday (MT)
  • Must be available daily, at a minimum, from 10:00 AM12:00 PM MondayThursday to provide live Zoom support to families with questions about Supplemental Learning Funds
  • Must be available to attend occasional in-person meetings in Malad, Idaho, and complete in-person tasks at the IHLA office as needed, including graduation preparation, mailing diplomas, and processing other paperwork sent to the Malad office
  • Applicants may not simultaneously be employed with another school district or public charter school

  • Technology proficiency: Ability to navigate new systems independently, learn new programs without hesitation, and use Google Suite (Docs, Sheets, etc.) at a high level. Strong technology skills and aptitude to problem-solve are essential.
  • Communication: Excellent oral and written communication skills; ability to communicate clearly and professionally with diverse stakeholders, including students, parents, teachers, and administrators
  • Organization: Exceptional attention to detail; ability to manage time, coordinate multiple projects, and meet defined deadlines
  • Adaptability: Flexible, firmly committed, and receptive to change in a dynamic virtual environment
  • Independence: Self-starter who can work autonomously and perform well under pressure with minimal supervision
  • Reliability: High level of responsibility and dependability in all assigned work
  • Professionalism: Family-focused approach with a warm, student-centered demeanor

Minimum Qualifications

  • Must be at least 18 years of age
  • High school diploma required
  • Advanced proficiency across Google Workspace is required, including but not limited to Google Docs, Sheets, Drive, Forms, Calendar, and Gmail.  Adobe products are also used regularly.   • Previous experience with financial management and familiarity with spreadsheets will be advantageous.
  • Hiring preference will be given to applicants within a reasonable driving distance of Malad, Idaho, for in-person training, meetings, and other tasks. 

Compensation and Benefits

Pay starts at $16/hour. Depending on years of experience in similar positions, it could be higher. Personal and sick leave are provided.
