UW Facilities has an outstanding opportunity for Learning and Development Specialist to join their team.
About this Opportunity
Reporting to the Assistant Director of Training, the Learning and Development Specialist is responsible for developing, delivering, scheduling, and tracking professional training courses and programs for UW Facilities employees, including regulatory-required and professional development training. This position also serves as the primary program administrator and instructor for the Stepping Stones to Success leadership development program. Success in this role requires a high degree of professional maturity, sound judgment, and the ability to maintain impartiality and focus in a complex organizational environment.
This position requires being onsite at the Facilities Training Center on UW Seattle campus. This role includes the opportunity to work remotely 1-2 days per week, depending on business needs.
Key Responsibilities
  • Develop, deliver, schedule, and track training and professional development on a range of topics and across multiple delivery formats. (30%)
  • Serve as the primary instructor and program administrator for the Stepping Stones for Success leadership development program. (15%)
  • Provide subject matter expertise to the organization on leadership development programs. (5%)
  • Write, edit, and develop instructional materials independently and with collaborative teams. (10%)
  • Recruit, supervise, and mentor 1-2 student interns. (5%)
  • Manage and track student intern budget and vendor payment processes. (2%)
  • Lead and participate in cross-functional work teams to manage training logistics. (5%)
  • Partner with managers and supervisors to assess training needs and identify professional development gaps. (5%)
  • Participate with Training Center leadership on intermediate and long-term strategy development. (3%)
  • Manage the Training Center schedule and prepare facilities for events. (5%)
  • Provide excellent service to all Training Center customers and stakeholders. (4%)
  • Use data and metrics for strategic analysis to evaluate training effectiveness and use findings to drive continuous improvement. (3%)
  • Maintain accurate records of classrooms, materials, and resources. (3%)
  • Coordinate with external vendors, subject matter experts, and training partners. (2%)
  • Ensure the Training Center is consistently presented in a clean, organized, and professional manner. (2%)

Required Qualifications

Minimum Qualifications

  • Bachelor's Degree and a minimum of 3-4 years of progressively responsible experience in training, communication, program coordination or management positions.

Additional Qualifications
  • Demonstrated experience designing and delivering training curriculum, including learning objectives, instructional materials, and assessments.
  • Ability to present and speak publicly to a wide variety of audiences.
  • Intermediate to advanced skills in MS Office applications (PowerPoint, Word, Excel, Outlook).
  • Proven experience building and maintaining records.
  • Strong communication and conflict management skills.
  • Demonstrated ability to work effectively with people at all levels of an organization and in a variety of roles.
  • Ability to maintain confidentiality and work with discretion and tact, with both individuals and teams.
  • Demonstrated flexibility and ability to work both independently, with minimum supervision, and as part of a team.
  • Self-starter that can work in an unstructured and ambiguous work environment.
  • Demonstrated ability using critical thinking skills to problem solve in the moment.
  • Excellent written and verbal skills and experience including the ability to write, edit and proof business documents and training materials.

Preferred Qualifications
  • Experience with Learning Management Systems.
  • Familiarity with adult learning principles and instructional design theory (e.g., Andragogy, ADDIE, or similar frameworks).
  • 1-2 years of experience supervising, mentoring, or providing formal guidance to staff, students, or interns.

Working Conditions
  • Must be able to work onsite, with potential hybrid schedule flexibility based on business needs.
  • Some evening and weekends may be required.
  • Must be able to work in a non-smoking environment.
  • Regular and predictable attendance is required.
  • Ability to lift / move 30 pounds.

About the Team
This role resides within the Partner Resources department of UW Facilities. Partner Resources is comprised of three strategic business units, Human Resources, Payroll, and Training, focused on providing world class expertise and service to the largest organization on upper campus. Human Resources guides and oversees UW Facilities departments in managing leave administration, employee performance, rewards and recognition, labor relations, Federal, State, UW and UW Facilities policies and procedures. Payroll manages the payroll administration for 1100 employees and provides strategic data to UW Facilities leaders to manage their payroll related costs. The Training Center develops, delivers, and curates professional development resources for UW Facilities employees, while also working with various stakeholders to schedule and track regulatory and compliance training.
