IronMountain Solutions, Inc. is seeking a highly motivated and organized individual as anAdministrative Coordinator. This position is located at the IMS Corporate office in Huntsville, AL. This role is part of a team that requires a demonstrable sense of urgency while working independently. We require proactive support to get things done, but also someone who can suggest and implement ways to improve processes for long-term success. A successful candidate will be customer-service oriented, have strong attention to detail and quality, have great organization skills, and can switch gears at a momentโ€™s notice.

Education and General Experience:

A High School diploma and at least three years of administrative experience in an office environment with proficiency with Microsoft Office is required. This position is full-time, performing various administrative functions. Additional working hours or on-call time are possible according to company needs. A successful candidate will possess strong organizational and communication skills, a team-oriented philosophy, and problem-solving skills. Candidates must be able to effectively multitask and work independently without daily guidance and supervision.

Primary Job Duties:

  • Greet visitors, in person or on the telephone, and direct them accordingly

  • Organize virtual calls, meeting rooms, and catering in multiple areas

  • Answer IMS telephone and direct calls accordingly

  • Assist in the maintenance of office supply inventory

  • Assist with receipt of goods and relocate to stockroom

  • Manage multiple calendars in Outlook

  • Maintain conference rooms, supply rooms and copier area

  • Route incoming mail/shipments and process outbound mail/shipments

  • Must be able to effectively multitask and work independently without constant supervision

  • Provide excellent customer support and ability to communicate with all levels of leadership and/or customers
