Vocational Improvement Program, Inc. (VIP, Inc.) is looking for a dependable, organized, and customer-focused Office Assistant to join our team in Rancho Cucamonga.

The Office Assistant plays an important role in keeping our front office running smoothly. This position serves as a welcoming point of contact for visitors and callers while providing administrative support to staff and helping maintain the day-to-day operations of the office.

What You’ll Do

  • Welcome visitors and accurately provide information or direct them to the appropriate person or resource.

  • Professionally answer incoming calls and ensure callers reach the appropriate person or department.

  • Receive, open, and accurately distribute mail throughout the office.

  • Maintain office forms and ensure they meet VIP’s quality standards.

  • Accurately complete base program client time sheets twice each month.

  • Maintain adequate office supply inventory and place orders with supervisor approval.

  • Provide support with office programs and equipment troubleshooting.

  • Assist with entering program service hours for company programs.

  • Provide front office support and coverage across VIP’s three office locations to help ensure consistent daily operations and customer service.

  • Accurately file paperwork for case management.

  • Follow VIP policies and procedures related to accident prevention and workplace safety.

  • Perform other duties as assigned.

What We’re Looking For

Education

  • High school diploma or equivalent.

Experience

  • Minimum of two years of front office clerical experience.

Skills & Qualifications

  • Strong organizational and multitasking skills.

  • Excellent verbal and written communication skills.

  • Ability to communicate effectively with the public.

  • Proficiency with Microsoft Word and Microsoft Excel.

  • Ability to type accurately at 45 words per minute.

  • Ability to follow verbal instructions.

  • Knowledge of office phone and intercom systems.

  • Understanding of client confidentiality and rights.

  • Ability to communicate verbally and in writing in English and Spanish.

Additional Requirements

  • Reliable transportation is required.

  • Employees who drive for work must be at least 21 years of age and provide a valid California driver’s license, automobile liability insurance, and current vehicle registration.

  • Drivers must meet VIP’s Driver Policy requirements, including requirements related to driving records.
