Job description

Brief Role Description and Requirements

This role is responsible for the coordination of research and academic affairs across the Larkin Health System (inclusive of both the campus in South Miami and Hialeah). The role comprises the creation, tracking and reporting on all aspects of research and scholarly work required by the ACGME, residency and fellowship programs and faculty. This requires close collaboration and communication with field-based research team members, residents, and fellows as well as program faculty and other health care professionals. Additional responsibilities include providing clerical and administrative support to the department of research and academic affairs to promote the efficient and effective operation of the department.

Essential Requirements:

  • Must have interpersonal skills needed to develop relationship with clinical departments, international research volunteers, and research liaisons in the Larkin Health System.
  • Strong computer and technology skills are needed to be familiar with a variety of databases for collection and tracking of information, as well as the generation of tables and graphs needed for system reporting and outcomes monitoring
  • High level of proficiency in word processing, spreadsheet, email, virtual communication programs, and other office-related software packages
  • Experience in work environments that include managing multiple tasks simultaneously
  • Ability to use judgment to make or recommend decisions related to escalation of issues or other related situations based on Departmental and Hospital Policy or ACGME requirements.
  • Demonstrable skills in both oral and written communications, including the ability to draft correspondence for review by management
  • In-person work at DRAA office is required

Qualifications:

  • Bachelor’s degree with three (3) years of related work experience, or Masters’ degree with (2) years of related work experience

Duties and Responsibilities:

  • Under the direction of the Larkin Health System Department of Research and Academic Affairs, coordinates the daily activities associated with the processing of research applications and proposals, processes and tracks the receipt of protocol submissions, and assists with the review of research needed to facilitate review by the Institutional Review Board.
  • Assists with the application development and presentation of training and seminars to faculty, Research PIs and team members, staff, and residents/fellows pertaining to research issues, requirements and processes.
  • Assists with the training of research committees in various clinical departments, liaisons, and fellows, which may include faculty or other involved positions.
  • Serves as liaison to operationalize initiatives within the DRAA inclusive of all scholarly work, faculty development education, research presentation and publication., and continuing medical education
  • Obtains, gathers, and organizes pertinent data as needed, and puts it into usable form.
  • Assists in researching and preparing varied reports, processing and monitoring work agreements, workflows, workflow approvals, and presentations.
  • Serves as a liaison between Residents, Fellows, Program Directors and other Hospital and staff members.
  • Serves as the “first face and voice” of customer service for the department and VP of Research & Academic Affairs. Ensures that telephone calls are answered, screened and routed promptly, and that visitors to the office are greeted, signed-in, and directed to the proper place.
  • Assists in the preparation and completion of reports, communication to staff, and correspondence.
  • Prepares and maintains confidential records and reports pertaining to payroll, finance, and purchase orders routed through the office.
  • Serves as a liaison with vendors and contractors for quotes.
  • Maintains a schedule of appointments as required.
  • Makes arrangements for conferences, interviews, travel and so on. Keep records and reports for all arrangements and deadlines. Assists with coordination of special events.
  • Assists in the development of research proposals and grant submissions to obtain external funding for the health system mission and other initiatives.
  • Performs other duties as assigned to facilitate the successful operation of the department.
